We are seeking a proactive, organized, and detail-oriented Senior Executive Administration to join our ever-growing team. This key role ensures the smooth day-to-day operations across various departments and supports the overall organizational efficiency. As a Senior Executive Administration, you will manage office procedures, maintain essential records, handle internal and external communication, and ensure the delivery of high-quality administrative support. You’ll act as a central point of coordination between teams, management, and stakeholders helping to drive operational excellence across the board.
Key Responsibilities :
1) Administrative Support
- Perform general administrative tasks such as data entry, filing, and document management across all subsidiary companies.
- Provide executive support, including calendar management, travel arrangements, expense reporting, and meeting preparation for the Director.
- Handle professional communication via phone and email.
- Ensure a welcoming and organized front office environment.
2) Records & Compliance
Maintain and update databases and filing systems in line with audit and regulatory requirements.Supervise records management processes to ensure accuracy and compliance.Develop and implement office policies and procedures to improve workflow and ensure regulatory adherence.3) Coordination & Scheduling
Coordinate schedules, meetings, and appointments for internal teams and external stakeholders.Support event planning and logistics for company projects, cross-functional initiatives and school activities.Partner with stakeholders to streamline workflows and improve operational efficiency.Ensure daily agenda readiness and manage pre-read materials for the Director.4) Student & Academic Support
Support the student admissions process, including handling enquiries and managing required documentation.Collaborate with academic and operations staff on school-wide initiatives.5) Procurement & Facilities Management
Handle basic procurement duties such as ordering office supplies and liaising with vendors.Manage office facilities and equipment to maintain a safe and efficient work environment.Oversee the administrative department’s budget and resources.6) Team & Workflow Management
Delegate administrative tasks to team members as needed.Coordinate internal communications and workflows across departments.Contribute to the organization's strategic initiatives across different functions.Partner with stakeholders to streamline processes and enhance operational efficiencyRequired Skills
A diploma or bachelor’s degree in business administration, or related fields.At least 3 years of experience in administrative or office support role.Strong organizational and time management skills.Excellent written and verbal communication abilities in English and Malay.Proficient in Microsoft Office Suite (Word, Excel, Outlook) and general office technology.Ability to handle sensitive information with discretion.A team player with a positive attitude and willingness to adapt.Ability to manage multiple tasks efficiently under minimal supervision.#J-18808-Ljbffr
