Your Role

As a Concierge Executive, you’ll be part of the team at the heart of GetHarley’s mission – delivering exceptional, end‑to‑end support to our practitioners and their patients. You’ll ensure every consultation, interaction and order runs seamlessly, creating a delightful experience that builds trust and loyalty. You’ll blend empathy with efficiency, handling each interaction with precision, warmth and ruthless attention to detail. This role suits someone who pairs agility with curiosity, approaching each challenge with a drive to create bespoke, elevated solutions.

What You’ll Do

  • Deliver personalised, timely support to our practitioners and their patients through our digital platform.
  • Support patients at every stage of their skincare journey – from consultation booking to their personalised skincare plan, product orders and ongoing support – guided by practitioner expertise to ensure a seamless, elevated experience.
  • Serve as a trusted liaison between our practitioners and their patients, ensuring continuity, precision and an effortless experience.
  • Ensure practitioner shelves reflect the most high‑performing, data‑informed medical‑grade products.
  • Collaborate closely with Account Managers and leadership to drive strong outcomes for clinics.
  • Maintain excellent written communication and attention to detail across all interactions.
  • Consistently meet and exceed team SLAs, driving performance with accuracy, efficiency and unwavering commitment to quality.
  • Proactively spot blockers and opportunities for improvement, adopting a growth mindset to make processes smoother and more scalable as we grow.

What You’ll Bring

  • Degree educated.
  • 1–3 years’ experience in customer experience, operations or concierge services, or a related role within the aesthetics or dermatology industry.
  • Excellent written English (C2 level) with meticulous grammar and tone. Please do not apply if you do not have C2 level English.
  • Experience using CRM systems and similar tools (e.g. Kustomer, HubSpot, Jira, GSuite; Pabau or Zapier a plus).
  • Strong organisational and problem‑solving skills, with sound judgement and impeccable attention to detail.
  • Confidence working both independently and collaboratively.
  • A genuine commitment to creating thoughtful, personalised experiences for our practitioners and their patients.
  • A growth mindset and readiness to learn quickly in a fast‑evolving environment.
  • A start‑up mentality – curious, proactive, accountable for outcomes and always looking for ways to improve.
  • Working Hours and Location

    This is a full‑time, permanent position working 40 hours per week remotely from Malaysia. You will be working on a rota basis and will be required to work one alternating weekend day per week, with one full weekend off per month. The shift pattern changes biweekly between :

  • 2 pm – 11 pm
  • 4 pm – 1 am
  • Ideally you are located in, or are able to commute to, Kuala Landau as and when needed for training sessions and social events.
