The Personal Assistant (PA) provides high-level administrative and business support. Beyond traditional PA responsibilities, this role requires strong business acumen, excellent executive communication skills, and the ability to coordinate effectively with Heads of Department (HODs). The successful candidate will be proactive, detail-oriented, and confident in supporting senior-level decision-making.
Job Responsibilities
- Executive & Business Support
- Manage the calendar, meetings, and travel while aligning priorities to business objectives.
- Support the preparation of executive-level documents, reports, and communication materials for internal and external engagements.
- Review and synthesize business updates, providing concise briefs to facilitate the discussions with HODs and partners.
- Ensure timely follow-up on key action items and deliverables.
- Stakeholder Coordination
- Act as a central coordination point to track progress on business initiatives, reports, and deadlines.
- Facilitate the flow of information across departments and ensure alignment on critical matters.
- Build effective relationships with HODs, leadership teams, and external stakeholders.
- Administrative Management
- Handle confidential correspondence, files, and records with discretion.
- Ensure meeting logistics, agendas, and required materials are prepared in advance.
- Manage office and expense-related matters where required.
- Communication & Engagement
- Draft and refine communication (emails, memos, briefings) on behalf.
- Take minutes in key meetings, prepare executive summaries, and track action items.
- Assist in preparing talking points and content for events or internal engagements.
- Ad Hoc Projects
- Support with special projects, research, and business analysis.
- Participate in selected cross-functional initiatives requiring coordination and follow-through.
Job Requirements
Bachelor’s degree in business administration, management, or a related fieldPrior experience as a Personal Assistant, Executive Assistant, or Business Support Executive.Exposure to corporate functions, business reporting, or project coordination will be an advantage.Strong business acumen and ability to quickly grasp organizational priorities.Proficiency in Microsoft Office suite (Word, Excel, PowerPoint) with the ability to prepare professional and polished materials.Excellent organizational, planning, and stakeholder management skills.Ability to work under pressure and manage multiple priorities.Professional, confident, and comfortable engaging with senior leaders.Proactive, resourceful, and solution-oriented.High level of discretion and confidentiality.Strong written and verbal communication skills.Seniority level
