OVERVIEW
We are seeking a highly organized and proactive Key Account & Logistics Operations Executive to be the operational backbone for our key client accounts. This is not a standard administrative role. It is a critical hybrid position that combines meticulous back-office administration with hands-on logistics and supply chain coordination, with a specific focus on managing imports from China.
The successful candidate will be the vital link between our suppliers, our internal teams, and our clients, ensuring flawless execution of orders and maintaining the highest level of service.
This role is the foundation for our operations. As we grow, there is potential to lead a small team or specialize further in supply chain management.
KEY RESPONSIBILITIES
1.Key Account Administration & Financial Coordination :
Act as the primary operational contact for vendors and suppliers, maintaining clear and professional communication.
Prepare, verify, and manage all key account documentation, including invoices, delivery orders (DO), and consignment stock reports.
Meticulously match purchase orders (PO), invoices, and payments to ensure 100% accuracy.
Track and monitor payment statuses, following up with internal finance and external parties as needed.
Maintain and update key account records, transaction histories, and databases with impeccable accuracy.
2. Logistics, Warehousing & Distribution :
Coordinate the repacking and labelling of goods according to specific client requirements.
Manage domestic courier and logistics partners; schedule pickups, track shipments, and resolve any delivery issues promptly.
Oversee the logistics flow from our office / warehouse to the client's doorstep.
3. International Import Coordination :
Manage the end-to-end process of importing goods from China, our key sourcing market.
Coordinate directly with Chinese suppliers on production schedules, shipping documents (Packing Lists, Commercial Invoices, BL / AWB), and shipment updates.
Liaise with freight forwarders and customs brokers to manage sea / air freight, customs clearance, import declarations, and final delivery to our warehouse.
Proactively track shipments and provide timely updates to internal stakeholders.
QUALIFICATIONS & REQUIREMENTS
Minimum of 3-5 years of proven experience in a combined role involving administration, account coordination, and hands-on logistics / shipment handling.
Meticulous attention to detail with a passion for accuracy in numbers and documentation.
Proven, hands-on experience managing imports from China is mandatory. Experience with Shenzhen / Guangzhou ports is highly advantageous.
Proficiency in Mandarin is essential for effective communication with Chinese suppliers.
Fluency in English and Bahasa Malaysia is required.
Strong proficiency in Microsoft Office Suite (especially Excel for data management) and experience with accounting / ERP software (e.g., SQL, Autocount, UBS).
Exceptional attention to detail and a process-oriented mindset.
Ability to multitask, prioritize effectively, and work independently in a fast-paced environment.
