ADMINISTRATIVE ASSISTANT (SERVICE BUSINESS)

Overview

About the role : We are looking for a dedicated and detail-oriented Admin Assistant, Service Business to join our team. The successful candidate will be responsible for supporting the service business sales order cycle, billing, invoicing, and customer coordination to ensure smooth business operations.

Responsibilities

  • SAP & System Administration : Create sales orders, picking lists / delivery orders, and invoices in the service business sales platform. Check and update open sales orders to ensure timely billing.
  • Billing & Invoicing : Prepare and issue invoices for equipment, installation, and related services. Monitor payment schedules and follow up with Finance / customers for outstanding payments. Ensure billing complies with contract terms and service agreements.
  • Coordination & Communication : Handle customer enquiries via phone, WhatsApp Live Chat, email, and ARIA call system. Ensure compliance with company SOP, Work Instruction, and operation guidelines. Maintain confidentiality of all sensitive information. Support additional tasks and assignments as and when required.

Who we're looking for

  • SPM / STPM / Certificate or Diploma in Business Administration or related field.
  • At least 1–2 years of experience in after sales service (coordination, scheduling, or operations support).
  • High attention to detail and commitment to meeting deadlines.
  • Strong communication and organizational skills.
  • Proficient in MS Office (Word, Excel, Outlook); knowledge of SAP is an advantage.
