Role Description
Overview of responsibilities for the HR role across record keeping, recruitment support, payroll assistance, onboarding / offboarding, administrative tasks, employee support, event coordination, and related HR activities.
Responsibilities
- Record Keeping & Data Management : Maintain accurate employee records, both physical and digital, and update HR systems with new hires, changes, and terminations.
- Monitor typhoid vaccine records and ensure all documents and forms are up to date (print & copy).
- Filing and scanning documents as required; assist with updating training records (Training Evaluation / Matrix).
- Recruitment Support : Post job openings, receive and collate applications, schedule interviews, and assist with background checks; prepare employment contracts for new workers.
- Payroll Assistance : Collect and process timesheets and other relevant data to prepare payroll information; monitor and update workers' shift schedules; assist in checking overtime, leave, and attendance records.
- Onboarding & Offboarding : Assist with new hire orientations, coordinate training sessions, and handle administrative aspects of employee departures, including exit interviews.
- Administrative Tasks : Schedule meetings, raise purchase requests for HR needs, and prepare reports (e.g., grievances); answer phone calls, update extension numbers, and prepare correspondence memos, letters, forms, bulletins, and newsletters; assist with ordering stationery and refreshments; liaise with panel clinics regarding medical chit, typhoid, invoices, transport, etc.; communicate with third-party service providers (courier, janitor, vending).
- Employee Support : Act as a point of contact for employees, answer inquiries and provide information on HR policies; assist in updating meeting minutes and preparing letters for workers committees; support activities and programs organized by workers committee members.
- Event Coordination : Help organize company events and employee engagement activities; assist the Employee of the Month program.
