Admin Executive
Responsible for preparing full set of accounts, monthly closing and financial reports (P&L, Balance Sheet, debtors and creditors aging, sales report, production report and other necessary reports) independently under minimum / no supervision. Must prepare accrual, journal data entries, fixed assets and depreciations. Manage various aspects of month‑end closing activities ensuring proper cut‑off and timely reconciliation of balance‑sheet accounts. Prepare cheques, payment vouchers, journal vouchers, bank reconciliations and debit / credit notes. Ensure timely credit collection from customers and monitor daily / weekly / monthly cash flow to maintain sufficient operating funds. Properly issue supplier payment cheques. Keep documents recorded and filed. Control petty cash and other miscellaneous payments. Submit sales tax and GST reports. Submit annual EA form for all employees.
Administrative and Operations
- Responsible for administrative and operations activities within the company and delegate tasks to departments.
- Supervise, coach and guide the admin assistant in day‑to‑day administrative operation.
- Conduct month and stock audit and present stock report after admin assistant has reconciled stocks with warehouse and production.
- Supervise issuing of invoices and delivery orders by the admin assistant.
- Supervise purchase orders issued by the admin assistant.
- Supervise transportation carriage inwards and outwards with the forwarder.
- Liaise with store department for maintenance and inspection of all company vehicles.
- Liaise with production and store department for timely and prompt shipments.
- Run errands to banks, auditors and immigration office.
Human Resource
Responsible for HR activities within the company.Payroll checking after admin assistant has calculated and submitted government reports.Interview and recruit new staff and workers.Provide prompt and accurate appointment and confirmation letters to all staff and workers.Issue warning / termination letters to delinquent workers.Work with various department heads to ensure safety rules and regulations and personal safety at the workplace.Perform other ad‑hoc tasks / assignments as and when required by management.
