Purchasing & Facility Coordinator
As a Purchasing and Facility Coordinator, you will be responsible for overseeing the procurement process of goods from start to finish. Your primary objective will be to source, negotiate, and purchase goods and services at the most favorable terms and prices, while ensuring high quality and timely delivery. You will collaborate closely with various suppliers and internal team members such as department heads / chefs, to understand their purchasing needs and requirements.
Main Duties
Here are the main responsibilities (but not limited to) :
- Ensure the purchasing and storing of the consumable, non-consumable food and kitchen equipment in line with established specifications. Ensure compliance with company policies, procedures, and relevant regulations throughout the procurement process.
- Proceed Purchasing request and closing invoicing process via Metabuyer system.
- Control and Ensure the highest products quality and sufficient quantity provided to our clients & Guests. Resolve any supplier-related issues or discrepancies, such as late deliveries or defective products, in a timely manner.
- Comply with the food hygiene, Health & safety management system in place.
- Apply a strict FIFO procedure who includes : Receiving, controlling, storing, rotating and labelling the products received
- Control and monitor accurately the stock inventory on each delivery.
- Control and monitor accurately the stock inventory on a weekly base. To have on hand up to date information of current stocks.
- Produce and submit a quarterly and a yearly stock inventory.
- Record and maintain accurate pricing data and suppliers list. To maintain a comprehensive supplier database. Maintain accurate records of purchases, pricing, and inventory levels.
- Assisting heads of departments on ordering schedules.
Duties and Responsibilities
Consumable & non-consumable food
Adhere to the high standard established at Sunway Le Cordon Bleu Malaysia.Apply and respect the Company policy of sourcing & purchasing ingredientsCoordinate with Production kitchen staff the setup of the ingredients for classes & events recipesCoordinate with chef’s instructor for any ingredient’s substitution with the approval of the Technical DirectorMaintain a close relationship with suppliers, Sunway Purchasing and finance departmentkitchen equipment
Proceed regular audits of all areas within the kitchen and storage areasCreate and maintain a labelling and coding system for all equipement.Coordinate with Steward supervisor the cleaning schedule for the food production and storage areasProceed with Stewarts supervisor regular audits of equipment to ensure is working safelyReport any out of service or equipment and tools deficient, to the maintenance and facilities companiesOther Activities
Assist all new Production kitchen staff member on SOP put in placeKeep up to date with latest trends in the foodservice industry and work with the team and the Culinary Arts / Operations DirectorWork closely with the technical director to the agreed targets on food cost, labour hours, sundries, and wastage.Participate in committees or working groups on site as needed.Assist colleagues and other departments with specific projects as needed.Carry out all other duties which Le Cordon Bleu may from time to time reasonably consider appropriate to be undertaken by the Employee.Management reserves the right to edit or alter duties as required.Personal / leadership skills :

Proven experience as a Purchasing Officer or in a similar procurement role in Food and beverage setting. Minimum 2 years’ experience.Strong knowledge of procurement processes, supply chain management, and price negotiations.Proficiency in using procurement software or systems.Computer literacy : Emails, Microsoft word, excel, powerpoint, etc.Excellent communication and negotiation skills.Strong analytical and problem-solving abilities.Attention to detail and accuracy in data management.Ability to work well under pressure and meet tight deadlines.
