About the role

We are seeking suitably qualified candidates to apply for the Administrator position in Graduate School Department, at the University of Nottingham Malaysia.

The role holder will coordinate the full administrative lifecycle of Postgraduate Research (PGR) students, including progression monitoring, thesis submission, examination arrangements, and graduation processing. Ensures accurate record‑keeping and regulatory compliance by liaising with academic schools and university departments, supports institutional reporting and student services through responsibilities such as disability liaison, audit data management, student laptop administration, and secretarial support for departmental meetings.

Job Responsibilities

  • Administers and monitors the academic progression of PGR students across designated schools, ensuring timely reviews and accurate documentation. Coordinates thesis submission timelines and examination logistics, including examiner appointments and viva scheduling. Facilitates graduation eligibility checks and degree award confirmations. Maintains up‑to‑date records in university systems and ensures compliance with the University policies. Acts as a liaison between the Graduate School, Faculties, and Student Registry to support PGR operations and elevate issues when necessary.
  • Serves as the main point of contact between the Graduate School, PGRs, and Disability Services, ensuring PGRs with disabilities receive the necessary support and adjustments to succeed in their studies. Maintains appropriate records.
  • Leads the collection and submission of PGR‑related research data for institutional audits including MyRA, SETARA, MQA, and internal UoN reviews. Ensures data accuracy and timely reporting to relevant stakeholders.
  • Manages the student laptop loan scheme in collaboration with IT Services. Oversees device issuance, return tracking, and record maintenance. Ensures all devices are returned upon student graduation, withdrawal or termination.
  • Allocates and monitors workstation assignments for PGR students, ensuring efficient use of space and timely resolution of reported issues. Coordinates with Facilities and IT teams to support the maintenance and functionality of PGR offices. Manages key collection from students exiting the University due to graduation, withdrawal or termination, ensuring proper handover and record updates.
  • Organises and records departmental meetings, capturing key discussion points and action items to facilitate timely follow‑up and informed decision‑making.
  • Provides administrative support for Graduate School operations and contributes to team‑based initiatives as needed.

Job Requirements

  • Bachelor’s degree in administration, education, or related field, or equivalent experience.
  • Knowledge of the postgraduate research lifecycle, university policies, examinations and graduation processes.
  • Relevant working experience of at least 3 years and above.
  • Attention to detail, accountability, ability to meet deadlines, and problem‑solving skills.
  • Flexibility and adaptability to operational needs.
