Responsibilities
- Manage the complete document lifecycle (creation, review, modification, issuance, distribution, and archiving)
 - Maintain electronic and hard copy document management systems
 - Ensure all documents are properly registered, classified, and indexed with correct document numbers, revisions, and status
 - Prepare and distribute transmittals to internal teams, clients, contractors, and vendors
 - Implement and monitor document control procedures in compliance with company policies and project requirements
 - Quality Assurance & Compliance :
 - Ensure all documentation meets company standards and compliance requirements (e.g., ISO 9001)
 - Maintain accurate and up-to-date master document registers and logs
 - Manage access rights and control of confidential and sensitive documents
 - Support internal and external audits by providing required documentation
 - Liaise effectively with internal departments and external customers
 - Provide training and support to staff on document management systems and processes
 - Assist team members in quick retrieval and location of documents
 - Administrative Tasks :
 - Systematically archive all project documents and company records upon project completion
 - Handle document printing, scanning, and photocopying as required
 
Qualifications & Requirements
Education : Diploma or Degree in Business Administration, Information Management or related field.
Experience : Minimum 2 years of experience in document control or related administrative role. Experience in manufacturing is preferred.
Technical Skills :
Proficient in Microsoft Office (Word, Excel, Outlook)
Language Skills :
Required : Excellent verbal and written communication skills in Malay and English
Knowledge of Mandarin or other languages will be an added advantage
Soft Skills :
Exceptional attention to detail and accuracy
Excellent organizational and time management skills with ability to multitask in a fast-paced project environment
Good communication and interpersonal skills
Ability to handle confidential information with discretion
Methodical and systematic work approach
