Summary
The Senior Executive – Warehouse & Logistics plays a vital role in overseeing and ensuring the smooth execution of all inbound and outbound logistics operations. This position is responsible for ensuring inventory accuracy, timely delivery, compliance with regulatory authorities, managing general and scheduled waste / scrap, and supporting continuous improvement initiatives in cost, efficiency, and compliance. This role also supports the management of import / export documentation, customs regulations and freight cost optimization with the RFQ processing while upholding warehouse standards and operational excellence.
Duties and Responsibilities
Duties and Responsibilities include the following. Other duties may be assigned.
- Lead the Warehouse & Logistics teams and oversee the complete Warehouse & Logistics process for all inbound and outbound materials and deliveries, ensuring seamless coordination and execution.
- Ensure inventory accuracy in both physical stock and system records through regular cycle counts, stock reconciliations, and inventory audits.
- Conduct monthly stock takes and assists in monitoring and controlling SLOB (Slow, and Obsolete) inventory to minimize waste and holding costs.
- Ensure proper handling and collaborate with the EHS (Environment, Health & Safety) team for the safe and compliant disposal of scheduled waste, adhering to environmental regulations.
- Manage the end-to-end import and export documentation process —including Shipment Lists, Packing Lists, and other shipping documents —ensuring accuracy and timely submission.
- Manage and monitor the tendering (RFQ) with evaluation of logistics services to ensure competitive pricing, reliable service levels, and alignment with operational needs.
- Develop, maintain, and implement Standard Operating Procedures (SOPs) for logistics and warehouse functions, ensuring high performance and compliance across processes.
- Ensure on-time in-full pick up from suppliers and delivery to both customers and internal departments, meeting service level expectations.
- Support audits conducted by customs, regulatory authorities, and certification bodies by maintaining complete and accurate documentation, ensuring compliance readiness.
- Assist the Assistant Manager by providing accurate and timely data for the creation of monthly management reports, including cost analysis, freight expenditure, inventory KPIs, and areas for process improvement.
- Promote and support safety programs, ensuring a safe working environment and a zero-accident culture within the department.
- Ensure that departmental KPIs are consistently met or exceeded.
- Participate in and contribute to continuous improvement initiatives across warehousing and logistics activities, including data accuracy, efficiency enhancements, and process optimization.
- Undergo and support product training to build knowledge of item handling, storage, and logistics processes.
- Ensure all subordinate staff participate in GPS (Global Performance System) training programs, with proper tracking of progress and completion as per the established timeline.
- Take the initiative to stay updated on industry trends, regulatory updates, and best practices in logistics and warehouse operations.

The ability to lead operational and commercial warehouse and shipping teams effectively is mandatoryAbility to understand processes and analyze data, present improvement ideas to management and implement them(Internal) Customer & OTD minded.Knowledge and experience in compliance with regulations from MITI, MIDA, Customs, and SIRIM is an advantage.Ability to perform multiple tasks simultaneously.Ability to function effectively in challenging situations.Ability to work independently, interdependently with other areas of the company as well as acting as a solid team player.Ability to take initiative and being very well organized.Proactive and autonomousEducation and / or Experience
At least 10 years’ experience in warehouse operations and 3 years in buying freightAt least 3 years’ experience managing operational teamsAt least 1 year experience reporting to managementProven people manager with improvement track record and understanding of processesExperience in handling issues and compliances from local authority, having experiences in customs is a plus.Language Skills
Ability to effectively communicate in the English and Bahasa languages verbally and in writing.Computer Skills
Proficient in MS Office applications, such as Word, Excel, PowerPoint, etc.Familiar with operating systems, such as Windows, etc.ERP database or Oracle knowledge.Customer Expectations
