The Project Procurement Executive is responsible for managing procurement activities related to tender and project-based requirements. This role ensures timely and competitive sourcing of products, materials, and services to support project sales, from the costing stage through to supplier handover upon project award. Plays a critical role in tender costing accuracy, supplier negotiation, and ensuring competitive advantage in project bidding, while maintaining strong supplier relationships and alignment with Apex's procurement strategy.
Key Responsibilities :
1.Tender & Project Product Sourcing
- Translate tender requirements into actionable procurement plans by collaborating with the Sales and Project teams.
- Source, evaluate, and negotiate with suppliers to obtain competitive quotations that meet cost, quality, and technical specifications.
- Prepare and consolidate detailed cost sheets for tender submissions based on supplier quotations and negotiated terms.
2.Project Procurement Operations
Serve as the main procurement liaison during the tender stage, ensuring fast turnaround of costing requests and coordinating with suppliers for clarifications, product samples, and technical documentation.Ensure smooth project handover by providing accurate costing, supplier details, and documentation to the main purchasing team upon projects are awarded.Support ongoing procurement operations, including urgent project-related sourcing and timely preparation of Purchase Orders (PO) to meet delivery and customer requirement.3.Data & Costing Management
Maintain a central costing database for frequently used items, materials, and suppliers to speed up future tenders.Track market price trends and benchmark costs to improve competitiveness.Ensure accurate record-keeping of all supplier quotations, tender cost sheets, and related project procurement files.4.Supplier & Market Engagement
Develop and maintain strong working relationships with suppliers to ensure responsiveness during tender periods.Research and onboard alternative suppliers or OEM partners to broaden sourcing options.Conduct supplier performance reviews related to project responsiveness, accuracy, and competitiveness.5.Cross-Department Collaboration
Work closely with Sales / Project team to understand technical requirements and timelines.Coordinate with the main Purchasing Executives to ensure smooth transition from tender costing to confirmed project orders.Communicate supply risks, cost fluctuations, or sourcing challenges to the Assistant Manager promptly.Perform additional procurement-related tasks or projects as assigned by the Assistant Manager or Management to support Apex's goals.Job Requirements :
Diploma / Degree in Supply Chain Management, Procurement, Business Administration, or related field.Minimum 2–3 years' experience in procurement, preferably in project-based industries (office furniture, interior fit-out, or construction).Good command of Mandarin, English, and Bahasa Malaysia with proficiency in Microsoft Excel and ERP systems for costing and data management.Detail-oriented, proactive, and able to work independently with minimal supervision.Strong negotiation and analytical skills, with ability to handle multiple tenders under tight deadlines.
