Job description

Responsibilities

  • Generate and process routine purchase orders
  • Monitor stock levels across all warehouses using SOQ reports; elevate urgent cases to Category Manager, Distribution Representative (DR), or supplier
  • Maintain JIT reporting accuracy by updating SKU status within system deadlines
  • Follow up with suppliers weekly to ensure timely fulfilment
  • Resolve receiving discrepancies (costing, quantity, expiry, quality, barcode issues) by coordinating with suppliers and logistic team
  • Handle Fixit tickets (product inquiry, expiry date, availability, complaints) and close cases
  • Respond to email inquiries from outlets, suppliers, and internal teams
  • Maintain 100% accuracy of supplier and item master data, including standard cost, bulk cost, order units, default suppliers, and contract terms
  • Manage trade return and credit note (CN) processes
  • Support budget‑controlled purchasing by coordinating with Category Manager on purchase stops, recalls, consignment deals, and ensuring purchases remain within budget variance
  • Monitor 3‑month non‑moving SKUs monthly; arrange returns, corrections, or reallocation with suppliers to reduce stock holding cost
  • Track 6–9 month stock nearing expiry and proactively arrange promotions, allocations, or returns to minimize stock loss

Job Requirements

  • Fresh graduate with a Diploma or Bachelor’s Degree in Finance, Business Administration, Supply related or Business Intelligence, Analytics or Statistics related fields
  • Growth mindset, eager to learn, use common sense, and stay committed to the job
  • Proficient in Microsoft Excel (pivot tables, formulas, data analysis)
  • Strong organizational ability with attention to detail and accuracy
  • Effective written and verbal communication skills for liaising with suppliers, outlets, and finance
  • Ability to manage multiple tasks and meet strict timelines
  • Internship or project experience in administration, procurement, supply chain, or data / reporting functions is an advantage
  • Interest or academic exposure in data reporting / analysis (Business Intelligence) to support procurement reporting tasks
  • Ability to work at HQ Office Bandar Sri Sendayan Seremban
