As the Human Resources Executive, you will play a vital role in supporting the HR Manager in executing end-to-end HR operations. This includes recruitment, onboarding, training, performance management, payroll coordination, employee relations, and retail workforce support. You will act as a key liaison between corporate HQ and retail teams, ensuring alignment with company values and operational excellence.
Key Responsibilities :
1. Talent Acquisition & Onboarding
Assist in full-cycle recruitment for both corporate and retail positions (sourcing, screening, interviewing, reference checks).
Coordinate onboarding processes including orientation, documentation, and retail-specific induction.
Maintain up-to-date job descriptions and manpower planning data.
2. Employee Relations & Engagement
Support the HR Manager in managing employee relations matters in a proactive and confidential manner.
Assist in planning and executing staff engagement programs, wellness initiatives, and internal communications.
Conduct employee surveys, feedback sessions, and exit interviews.
3. Training & Development
Coordinate and track training programs for retail and HQ employees (e.g., product training, soft skills, compliance).
Work closely with Retail Training team and Brand Managers to ensure delivery of brand training and performance coaching.
Maintain training records and evaluate effectiveness of learning programs.
4. Performance Management
Assist in the annual and mid-year performance review process, including goal setting, evaluation support, and documentation.
Monitor probationary reviews and ensure timely follow-ups with department heads and store managers.
5. Payroll & HR Admin
Collaborate with finance / payroll team to ensure accurate and timely payroll processing, attendance, and claims management.
Maintain HRIS and employee records (contracts, leaves, benefits, disciplinary actions).
Support monthly HR reports, headcount reports, and audit requirements.
6. Compliance & HR Policies
Ensure HR practices align with Malaysian labor laws and company policies.
Assist in updating employee handbooks, SOPs, and HR guidelines.
Maintain confidentiality and integrity in handling employee data and sensitive issues.
7. Retail HR Support
Serve as a point-of-contact for store managers on HR-related matters (rosters, leave, staffing, discipline).
Conduct retail visits and periodic HR audits to ensure compliance and morale.
Support festive period recruitment, scheduling, and staff planning.
Requirements :
Education & Experience :
Degree in Human Resources, Business Administration, Psychology, or related field.
1–2 years of HR experience, preferably in retail, FMCG, or lifestyle industry.
Skills & Attributes :
Strong interpersonal and communication skills (Bahasa Malaysia and English required; Mandarin is an added advantage).
Good understanding of HR best practices and Malaysian labor regulations.
High level of discretion, integrity, and professionalism.
Hands-on, proactive, and able to work in a fast-paced retail environment.
Proficient in Microsoft Office Suite and HRIS systems (e.g., Info-Tech, Kakitangan, etc.).
Ability to multitask and manage priorities across corporate and retail functions.
