Job descriptionTo support Freight Management Executive in handling freight forwarding activities such as import, export and customs clearance. Plan and perform materials delivery execution through monitoring, communicating and issuance of reminders to COMPANY vendors / sub-vendors to ensure timely delivery of materials to ensure no disruption to operations. Request / Prepare, verify and consolidate shipping documents (e.g. Packing List, Bill of Loading, Air-way Bill, Material Safety Datasheet) to ensure accuracy and completeness of documents in line with the established COMPANY policies and procedures as well as regulatory requirements for timely clearance processes thus avoiding delay on cargo release at Customs checkpoints. Coordinate, analyze and resolve Criticism of Materials (COM) by communicating and engaging with COMPANY's vendors / sub-vendors, End-users and Buyers for COMs issued for off-spec, damage or shortage of materials delivered to ensure correct materials (in terms of quality and quantity) are delivered as specified in the order. Execute shipment consolidation for all COMPANY entities / Implement shipment consolidation across all COMPANY entities / Oversee the consolidation of shipments for every COMPANY entity. Depending on user's / FM Exec / GP Manager request. Draft, compile and produce monthly reporting such as DC, COM & LOPO for 3PL Performance Review. Provide material availability updates for each OPU on a biweekly basis or as requested by FM Exec / GP Manager and present material availability. Assess and submit the freight proposal via FEX system. To evaluate the details and make sure information is correct and appropriate before submission of the Freight Proposal. Follow up invoice advance payment to vendors as well as client side. Look into all possible options to speed up material readiness and explore any possible way to expedite the material readiness to site. Monitor non-D shipments to confirm they are progressing as planned and to follow up shipments to make sure they are on track. Coordinate logistics for repair and return and monitor the status and location of goods / materials.
