Job Responsibilities :
Administrative & Accounting Duties
- Handle daily accounting operations, including Accounts Payable (AP), Accounts Receivable (AR), journal entries, petty cash, and bank reconciliations.
- Review and update the master tenant listing to ensure accurate rental invoicing, collections, and reporting to Directors.
- Monitor payment cycles, track receivables / payables, and ensure adherence to internal accounting policies and procedures.
- Ensure compliance with e-invoicing requirements and service tax regulations under Group K (Rental & Leasing) and arrange for timely submission.
- Liaise with property agents, banks, lawyers, and clients regarding leasing, renewals, and finance-related matters. Responsible for stamp duty processing.
- Maintain organized and up-to-date documentation for audits, tax submissions, and other regulatory filings.
- Coordinate with external company secretary, auditors, tax agents, and government bodies to meet statutory requirements and reporting deadlines.
Building & Facilities Management
Oversee daily building operations, ensuring all facilities and services (security, M&E systems, cleaning, landscaping, pest control, parking etc.) are well-maintained.Conduct routine building inspections and submit reports with actionable recommendations for rectification and preventive maintenance.Manage all common property maintenance tasks in compliance with house rules, strata by-laws, and local authority requirements.Ensure buildings comply with all safety regulations, including fire inspections, CCC (Certificate of Completion and Compliance), and land title conversions.Remain on-call 24 / 7, with the ability to respond to on-site emergencies within 45 minutes of notification.Plan and manage daily tasks for the administrative and maintenance teams, ensuring alignment with operational priorities.Source, evaluate, and appoint vendors and contractors for building repairs, services, and projects.Liaise with regulatory bodies, architects, surveyors, and other professionals to secure permits, licenses, and resolve compliance issues.Monitor contractor performance to ensure service standards, safety, and operational efficiency are consistently met.Willingness to travel between multiple sites for routine inspections and operational oversight.Job Requirements :
Bachelor's Degree in Finance, Accounting, Business Administration, LCCI or a related field.A minimum of 2 to 4 years of relevant experience in property or Facility Management and Administrative accounting.Strong knowledge of building systems, maintenance workflows, and safety regulations.Proficient in Microsoft Office and SQL accounting systems.Excellent organizational and multitasking skills; able to manage multiple priorities simultaneously.Strong communication, interpersonal, and customer service skills.Must have personal transportation and be willing to travel for site visits.Ability to respond promptly to emergencies and remain calm under pressure.Working Conditions :
May require extended hours and weekend availability for emergencies or urgent site issues.Frequent site visits and occasional travel to various property locations.Office Location : Cheras Business Centre.
