Job description

Responsibilities

  • Control all construction site documents, plans and drawings and ensure such documents are properly recorded, filed and easily retrievable.
  • Manage all outgoing and incoming mails / letters, endorsement and distribution to site personnel for follow-up actions.
  • Manage legal and insurance registration and renewal.
  • Handle application and renewal of certificates / licensing under government requirements.
  • Issue site workers' registration passes.
  • Handle mail and courier services (if any).
  • Assist in recording weighing bridge machine and mixed concrete produced from batching plant (if needed).
  • Handle a variety of administrative tasks such as filing, data entry, and document processing.
  • Maintain and update office records and databases.
  • Assist with general office duties and projects as required.

Purchasing

  • Preparation of quotations, purchase orders, credit sales, and update of goods received notes and outgoing correspondence, etc.
  • Update, monitor and follow up delivery of goods and prepare delivery progress reports.
  • Work closely with site supervisor, suppliers and customers for smooth and prompt delivery of goods.
  • Record and follow up complaints for non-compliances such as late delivery and inferior quality.
  • Liaise and compile necessary documents for other departments' needs such as the finance department.
  • Requirements

  • Candidate must possess at least a SPM / Certificate / Diploma in Administration or equivalent.
  • Good written and spoken communication skills in English, Chinese and Bahasa Malaysia.
  • Required skills : PC literate; MS Office is an advantage.
  • Good interpersonal skills and able to work independently with minimum supervision.
