Overview
The Facilities Coordinator is responsible for ensuring the smooth daily operations of office facilities while providing administrative support to maintain a productive, safe, and efficient work environment.
Responsibilities
- Coordinate daily office operations and maintenance activities
- Serve as the primary point of contact for facility-related issues
- Manage vendor relationships and service contracts for cleaning, consumables, maintenance, and repairs
- Process and track facility service requests from employees
- Maintain inventory of office supplies and coordinate restocking
- Assist with workspace planning, moves, and changes
- Support the implementation of health and safety protocols
- Coordinate meeting room bookings and event setup
- Manage reception duties as needed
- Assist with budget tracking for facilities expenses
- Create and maintain facilities documentation
- Managing all contract vendors for technical and non-technical services
- Provide monthly operation and maintenance report to client
- Client invoice / billing - ensure monthly invoices are prepared & submitted to client
- Support Client / Accounts Shopping Carts / FSR / PO Creation
- Process vendor invoices to APAC Inv Team
- Prepare billing request and send to JLL, charging it to the correct PO and GR lines
- Prepare payment run files every month
- Any other ad-hoc duties assigned
Qualifications
Diploma or Bachelor039;s degree in Facilities Management, Business Administration, or related field1-3 years of experience in facilities management or administrative rolesProficient in Microsoft Office applicationsStrong organizational and multitasking abilitiesExcellent communication skills in English and Bahasa MalaysiaProblem-solving aptitude with attention to detailCustomer-service oriented mindsetKnowledge of health and safety regulations is an advantageSkills & Competencies
