Job description

As an HR Executive, you will be a key member of the team, responsible for a broad range of human resources and administrative tasks. This includes recruiting personnel, managing payroll and statutory contributions, supporting employee relations, maintaining compliance with local regulations, and liaising with government authorities. You will also assist with daily office administration and provide HR data support to senior management. This role is ideal for someone experienced in a manufacturing environment, with strong attention to detail and a solid understanding of HR functions and labor laws.

Responsibilities and Accountabilities :

Recruitment & Talent Acquisition

Manage full-cycle recruitment : job postings, interviews, offer letters, and onboarding.

  • Develop and maintain a strong talent pipeline to meet workforce requirements.

Personnel Management & Compliance

Improve and maintain the company's personnel management system and contract templates.

  • Prepare and maintain employee records to ensure accuracy and compliance.
  • Ensure adherence to company policies and local employment laws.
  • Payroll Administration

    Handle end-to-end payroll processing including salary computation, allowances, deductions, and overtime.

  • Ensure timely and accurate salary disbursement.
  • Coordinate with the Finance department to verify and reconcile payroll data.
  • Statutory Contributions & Reporting

    Manage and ensure accurate submission of statutory payments such as EPF, SOCSO, EIS, PCB (PCB Potongan Cukai Bulanan), and other government contributions.

  • Keep updated on any changes in statutory requirements and implement necessary changes.
  • Prepare monthly and annual statutory reports as required by local authorities.
  • Employee Relations

    Address employee concerns, mediate conflicts, and support a positive workplace culture.

  • Maintain open communication channels between staff and management.
  • Training & Development

    Coordinate employee training sessions and performance review processes.

  • Track training effectiveness and maintain development records.
  • Office Administration

    Assist in managing daily office operations to ensure smooth workflow.

  • Manage office inventory and support administrative logistics.
  • Government Relations

    Liaise with local government authorities for permits, inspections, and other administrative procedures.

  • Ensure compliance with all labor and operational regulations.
  • HR Data & Decision Support

    Provide accurate HR and operational data to support decision-making.

  • Generate reports on headcount, attendance, turnover, and other HR metrics.
  • Requirements :

  • Minimum 3 years of experience as an HR Executive, preferably in a manufacturing environment.
  • Experience in full-scope payroll processing and statutory contribution management.
  • Strong knowledge of Malaysian labor laws, EPF, SOCSO, EIS, and income tax regulations.
  • Familiarity with communicating and coordinating with government authorities and regulatory bodies.
  • Basic understanding of financial and administrative processes.
  • Excellent organizational and multitasking skills.
  • Strong communication skills, with the ability to interact across all levels of the organization.
  • Proficient in Microsoft Office Suite (especially Excel) and HR / payroll systems.
  • Fluent in Malay and English, Mandarin (spoken and written).
  • Fluency in Mandarin is an added advantage.
