Order Management Specialist

Responsibilities

• Process, validate, and manage customer purchase orders accurately within the ERP system, ensuring compliance with contract terms and pricing.
• Coordinate closely with supply chain, logistics, and warehouse teams to ensure timely product availability, delivery, and shipment tracking.
• Serve as the main point of contact for Mandarin‑speaking customers, handling inquiries, order status updates, and issue resolution promptly and professionally.
• Monitor order backlog, delivery schedules, and inventory levels to proactively identify and resolve potential supply or fulfilment issues.
• Collaborate with finance to support billing accuracy, credit release, and payment follow‑ups when required.
• Ensure accurate documentation for all orders, including sales confirmations, invoices, shipping documents, and related reports.
• Support continuous improvement initiatives in order management processes to enhance operational efficiency and customer satisfaction.
• Prepare and analyse order‑related reports (order volume, fulfilment rate, delivery performance) for management review.
