The Personal Assistant is a highly confidential and pivotal role providing comprehensive, proactive administrative and secretarial support.
This position demands an exceptionally organised, proactive, and discreet professional capable of managing complex schedules, high-level communication, and ensuring the efficient and seamless execution of all operational and personal obligations.
Responsibilities
- Strategically manage complex schedules and time, handling all engagements, prioritising commitments, and proactively resolving conflicts for optimal efficiency.
- Coordinate all aspects of domestic and international travel, including managing detailed itineraries, bookings, and necessary documentation.
- Facilitate seamless high-level communication by acting as the primary liaison, managing incoming correspondence and calls, and drafting professional communications.
- Ensure thorough preparation for all engagements by gathering background materials, conducting necessary preliminary research, and compiling organised documentation.
- Provide meticulous documentation support by taking accurate meeting minutes, tracking key decisions and action items, and ensuring timely follow-up with stakeholders.
- Maintain and organise confidential records through systematic digital and physical filing, ensuring critical information is secure and easily accessible.
- Handle administrative and financial processes, including managing expense reports and verifying invoices, claims, and payments for accuracy and compliance prior to approval.
- Manage the smooth operation of the office, including overseeing supplies and coordinating with internal support teams including IT and facilities.
- Ensure a professional reception for all VIPs, guests and visitors, reflecting the company’s image and fostering positive external relations.
Requirements
A minimum of a Bachelor's Degree in Secretarial Science, Corporate Communication, Business Administration / Management, or an equivalent field.Preferably at least five (5) years of progressive working experience in a secretarial or high-level administrative support role is required.Advanced computer literacy with demonstrable expertise in M365 and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).Excellent command of both written and spoken English and Bahasa Malaysia (or relevant local language).Possesses an outgoing, proactive, and highly motivated demeanor with strong interpersonal skills.Demonstrated ability to quickly build and maintain effective working relationships at all organisational levels.Displays exceptional tact, diplomacy, and discretion when handling confidential information.Highly organised, detail-oriented, and capable of managing multiple priorities under pressure.A collaborative team player who is also effective working autonomously.Seniority Level
