Role Description :

We are seeking a strong, adaptable, and motivated individual to join our People team as a Global Mobility & HR Operations Executive. This role focuses primarily on visa and expatriate management, while also supporting HR operations and employee experience. You will help ensure smooth mobility processes, compliance with MDEC, Immigration, and PERKESO requirements, and efficient day-to-day HR support across the company.

You’ll report to the Chief of Staff and work closely with the HR team to deliver a seamless people experience for our global workforce.

Global Mobility & Visa Management (Core Focus)

  • Handle the end-to-end preparation and coordination of Employment Pass (EP), Dependent Pass, Special Pass, Long-Term Social Visit Pass, Permission-to-Work (PTW), and MTEP applications and renewals.
  • Manage PERKESO processing and approvals for new employment visa applications.
  • Coordinate relocation logistics for expatriate employees — including flight bookings, temporary accommodation setup, and onboarding arrangements — in collaboration with external vendors when required.
  • Liaise with MDEC, Immigration offices, embassies, and external immigration consultants for visa document submission, collection, and follow-up as needed.
  • Maintain accurate tracking of visa timelines, passport validity, and renewal reminders to ensure compliance with immigration requirements.
  • Support process improvement initiatives within the mobility function, such as streamlining document workflows or tracking systems.
  • Collaborate with Finance, and department managers to ensure timely processing of mobility-related documentation, updates and approvals.
  • Support continuous improvement initiatives within the mobility function, such as streamlining document workflows, enhancing data accuracy, or maintaining updated mobility guides and templates.

Workplace Experience & Operations (Supporting Scope)

  • Support day-to-day HR operations, such as processing HR-related requests, preparing HR-related letters, managing shift or role changes, and maintaining accurate and confidential employee data in the HR Information System (HRIS).
  • Assist in onboarding, offboarding, and internal movement processes to ensure a smooth and consistent employee experience.
  • Contribute to the People team’s quarterly OKR projects by supporting process improvements, documentation updates, or HR-related initiatives.
  • Run engagement activities, including recognition programs, team-building events, and company-wide celebrations, to foster a positive and inclusive workplace culture globally.
  • Work with the office management team (Colony) and internal departments to ensure the office environment remains comfortable, safe, and well-maintained for employees.
  • Proactively identify workflow or process improvement opportunities within HR operations to enhance efficiency and employee experience.
  • Qualifications

  • Minimum 2 years of experience in HR operations, visa processing, or expatriate coordination .
  • Handled MDEC, Immigration, or PERKESO processes is a strong advantage.
  • Individual who thrives in a fast-paced environment and navigate change with a positive attitude.
  • Excellent time management and organizational skills , with attention to detail across multiple priorities.
  • Strong communication skills in English , both written and verbal.
  • Proactive, reliable, and collaborative — able to work independently and as part of a team.
  • Demonstrates professionalism, initiative, and a commitment to continuous improvement.
