Position Summary
We are seeking a detail-oriented and proactive Admin cum Property Assistant to support leasing operations, administrative functions, and basic legal documentation. This role plays a key part in ensuring smooth tenancy lifecycle management, accurate records, timely correspondence, and compliance with statutory and contractual obligations.
Key Responsibilities
- Manage end-to-end leasing documentation : letters of offer, tenancy agreements, renewals, terminations, and related correspondence.
- Liaise with tenants, landlords, and agents on leasing matters and documentation.
- Maintain accurate records of lease terms, rental schedules, and tenancy correspondence.
- Coordinate tenancy onboarding and handovers, including deposits, utilities, and checklists.
- Monitor lease expiries, notice periods, renewals, rent reviews, and terminations.
- Support tenant relations by addressing inquiries, coordinating minor requests, and escalating issues as needed.
- Ensure compliance with regulatory requirements (e.g., stamp duty, tenancy registration) and internal policies.
- Maintain up-to-date tenancy records, occupancy reports, and rental tracking in the property management system.
- Assist with invoicing and collections : prepare rent and utility invoices, monitor payments, and elevate arrears.
- Coordinate with Legal and Finance teams to ensure accurate billing and compliance.
- Liaise with external lawyers, stamp duty agents, and government bodies for documentation and filings.
- Draft and review standard correspondence, legal templates, and simple contractual amendments under supervision.
- Assist the Legal Manager with documentation such as Memorandum of Transfer (MOT) and Strata Title matters.
Office Administration
Serve as the first point of contact for incoming calls and walk‑in visitors.Manage incoming and outgoing mail and courier arrangements.Monitor and replenish office supplies, pantry items, and stationery.Support general administrative tasks to ensure smooth daily office operations.Personal Attributes
