Job description

Responsibilities

  • Support full-cycle recruitment activities including job posting, candidate screening, interview coordination, and preparation of offer letters.
  • Maintain and update employee records, personnel files, and HR system databases.
  • Track and compile attendance, leave, overtime, and allowances; assist in monthly payroll processing.
  • Draft HR documentation including confirmation letters, warning letters, memos, transfer / promotion letters, etc.
  • Support investigations and disciplinary processes for issues such as misconduct, absenteeism, and complaints.
  • Educate and brief local and foreign workers on company policies, SOPs, and workplace regulations.
  • Handle permit renewal, FOMEMA, insurance, and passport matters for foreign workers.
  • Liaise with government agencies (JTK, Immigration, EPF, SOCSO, DOSH, HRDCorp) on statutory submissions, inspections, and license renewals.
  • Manage company licenses, hostels, and vehicle records; ensure compliance with Akta 446 and internal policies.
  • Coordinate with internal and external parties for general admin tasks and employee engagement events.
  • Maintain inventory of office supplies and supervise office cleanliness and cleaner schedules.
  • Assist in logistics such as internal transport, clinic appointments, and travel arrangements for executives.
  • Ensure proper filing and documentation control for HR and administrative records.
  • Identify workplace health and safety concerns and escalate for corrective action.

Job Requirements

  • Possess at least a Diploma or Bachelor\'s Degree in Human Resources, Business Administration, or related field.
  • Minimum 2 years of experience in HR and administrative roles, preferably in manufacturing.
  • Familiar with Employment Act 1955, Akta 446, OSHA, and foreign worker compliance procedures.
  • Proficient in Microsoft Office applications : Excel, Word, PowerPoint, Outlook.
  • Strong communication, organizational, and interpersonal skills.
  • Able to work independently and manage multiple priorities with high confidentiality.
  • Fluency in Mandarin will be an added advantage to support communication with Mandarin-speaking staff and authorities.
  • Proactive, detail-oriented, and adaptable to a fast-paced work environment.
