Job Purpose :
To manage recruitment and to provide comprehensive administrative and operational support to the HR department, ensuring efficient and compliant management of employee-related documentation, including the stamping of relevant documents as required by Malaysian law.
Key Responsibilities :
HR Operations / Onboarding and Offboarding :
- Assist with the onboarding process for new hires, including preparing offer letters, contracts, and necessary paperwork. Also, support the offboarding process, ensuring proper documentation and procedures are followed.
Handle HR documentation :
prepare appointment, confirmation, transfer, promotion, resignation letters.Maintain and update personnel records and employee files for easy access and retrieval .Document Stamping :
Handle the process of stamping legal and official documents, particularly employment contracts, with the appropriate revenue stamps as required by Malaysian law. This may involve liaising with relevant authorities and managing the payment of stamp duty.Payroll Support :
Assist in the preparation of payroll data, ensuring accuracy and timely processing. This may involve collecting and verifying timesheets, leave requests, and other relevant information.Employee & Industrial Relations
Handle disciplinary actions, grievances, and conduct domestic inquiries.Ensure compliance with Employment Act 1955 and Industrial Relations Act.Liaise with industrial relations bodies and represent the company when required.Training & Development
Plan and coordinate training sessions, including induction and skills development initiatives.HR Strategy & Engagement
Support HR initiatives such as performance appraisals, employee engagement, culture-building programs.Assist with HR policies, employee handbooks, and compliance requirements.Qualifications & Requirements :
Diploma or Bachelor's degree in Human Resources, Business Administration or a related field.3–7 years of HR experience (generalist), including exposure to administrative / stamping tasks.Strong knowledge of Malaysian Employment Act / labour laws and statutory compliance.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).Excellent communication and interpersonal skills.Attention to detail and ability to work independently.Ability to interact professionally with government agencies and handle complex paperwork.
