PRIMARY DUTIES

Employee Lifecycle / Process and Program Administration

  • Expert across the full spectrum of HR processes in Workday and related systems, ensuring robust data integrity, compliance, and seamless execution of business processes.
  • Serve as the ultimate escalation resource for process-related issues, ensuring rapid resolution of complex cases.
  • Responsible for custom / regional digital signature workflows and template management. Coordinate with HRIA to leverage automation opportunistically. Acts as global super user partnering to aid in replication to other regions.
  • Support acquisitions through Workday entry and participates in process mapping / alignment sessions.
  • Supports business leaders on global automated HR processes for assigned groups.
  • Maintain employee digital master files (& hard copy files where legally required) and respond to requests for employee file information.

Process Improvement :

  • Lead end-to-end cross-functional process improvement projects, from identifying opportunities and defining project scope to implementation and post-project analysis.
  • Lead initiatives to standardize inquiry resolution practices and improve service delivery across the HR Shared Services team.
  • Support system enhancements and participate in cross-functional project teams to test and implement process automation initiatives.
  • Develop process maps for current and future states. Collaborate with customers, management, stakeholders, and functional / technical counterparts to understand process flows and be able to convert them into formal procedural and process documents
  • Liaise with HR leadership and IT teams to influence system enhancements and process redesigns that support business goals.
  • Payroll Management & Transitions :

  • Responsible for collaborating with internal functions and third-party providers to manage payroll for Southeast Asia and Korea.
  • Verify attendance and leave data before payroll submission to ensure accuracy.
  • Support the transition of payroll projects to the global payroll team.
  • Address basic employee inquiries and grievances, ensuring responses per company policy.
  • Support disciplinary actions and performance improvement plans by documenting discussions and follow-ups.
  • Handle day-to-day HR administrative tasks for the Malaysia plant, including employee onboarding / offboarding, attendance tracking, and HR document management.
  • Partner with HRBP team to develop and oversee the maintenance of comprehensive knowledge resources and documentation, ensuring consistency across the organization.
  • Develop and maintain advanced troubleshooting guides and FAQs to enhance the knowledge base for the entire HR team.
  • Ensure compliance with Malaysia labor laws and company policies in all HR processes.

  • Assist managers in the annual performance review process by tracking deadlines, collecting evaluation forms, and filing records.
  • Generate basic HR reports (headcount, turnover, attendance) on a monthly basis.
  • Support HR audits and ad-hoc projects as assigned.

  • Knowledge of Workday, applicant tracking systems, cloud document signature platforms and other vendor HR systems
  • Ability to work with a high degree of accuracy
  • Experienced to lead change and manage key stakeholder’s expectation
  • Minimum Requirements

  • Bachelor’s degree in human resources or field relative to job duties, or equivalent experience.
  • 4+ years of related HR experience with an emphasis on HR shared services administration and / or HRIS systems in MNCs.
  • Professional English, Chinese, Malay Language Skills (verbal and written)
  • Having work experience in SEA countries will be added advantage.
