Administration and HR Manager – Job purpose

As an Administration and HR Manager, you will be responsible for administrative and human resource functions, ensuring efficient systems and compliance across the organization, according to established Reef Check Malaysia practices and procedures.

Key responsibilities

  • Ensure comprehensive project documentation, filing systems, and digital archiving of all organisational records.
  • Oversee statutory reporting requirements and maintain compliance with legal, financial, and employment regulations.
  • Manage payroll, benefits administration, and staff welfare programmes.
  • Provide guidance and support to managers on HR issues, conflict resolution, and employee relations.
  • Supervise administrative staff and ensure smooth daily operations across field sites.
  • Coordinate procurement, vendor management, and contracts in line with organisational policies.
  • Maintain all financial accounts and company documentation, and provide updates to company secretary, accountants and auditors on time.
  • Ensure all procedures published in RCM Administration Manual are adhered in a timely manner.
  • Perform other duties as required to contribute to the organization's objectives.

    Reef Check Malaysia is seeking an Assistant Programme Manager based in Kuala Lumpur. The work will be mainly centered in the office in Kuala Lumpur but regular travel to other parts of Malaysia is required. Motivated individuals with great passion for environmental conservation and community development are encouraged to apply.

    Assistant Programme Manager – Job purpose

    As an Assistant Programme Manager, you will assist the implementation of our long-term marine conservation programme plan according to established Reef Check Malaysia practices and procedures, with the goal of establishing co-management to sustainably manage marine ecosystems and promoting sustainable waste management. The Assistant will also be expected to assist with the implementation of Reef Check Malaysia’s EcoAction, Science, Advocacy, and Management programmes in Malaysia.

    Key responsibilities

  • Lead the implementation of the plastics and marine debris programme, which involves regular stakeholder consultations, including with government officials and corporate sponsors.
  • Coordinate beach clean-ups and manage volunteers, including contributing to clean-up data analysis and reporting.
  • Contribute to the development of communication materials and deliver awareness programmes on marine conservation, targeting schools and local communities.
  • Assist in managing budget and financial accounts.
  • Participate in relevant field activities under Reef Check Malaysia, as required.

    Job purpose :

    As an Accounts Assistant, you will be responsible for supporting the finance function through accurate bookkeeping, invoicing, and coding of transactions across the organization, according to established Reef Check Malaysia practices and procedures.

    Key responsibilities :

  • Maintain accurate bookkeeping records, including data entry of expenses, receipts, and journal entries.
  • Process and manage e-invoicing, ensuring timeliness and compliance with financial regulations.
  • Verify and code all financial transactions against correct project and account codes.
  • Support the preparation of financial reports and statements for internal management and external funders.
  • Reconcile accounts, monitor outstanding payments, and follow up on discrepancies.
  • Assist with payroll preparation and staff reimbursements as required.
  • Maintain organised financial documentation and support audits.
  • Support general office administration, including filing, procurement, and logistics.
  • Provide clerical support to field teams.
  • Work closely with the Administration and HR Manager to ensure alignment of financial and administrative records.
  • Perform other duties as required to contribute to the organization's objectives.
