Job description

Responsibilities

  • Communication & Liaison : Serve as the primary point of contact and communication among store teams, Area Managers, the Regional General Manager , and the head office on all operational and reporting matters.
  • Meeting Coordination : Organize and manage regional and team meetings, including scheduling, venue preparation, taking meeting minutes, distributing notes, and arranging food and beverages.
  • Administrative Follow-Up : Communicate and follow up with Area Managers and store outlets to ensure timely submission of essential documents, such as claims, training lists, and KPI reports.
  • Reporting & Data Management : Prepare and compile various operational reports (daily, weekly, monthly) and maintain accurate master records for the region, including outlet information, organization charts, and licenses.
  • Financial Administration : Coordinate the submission of invoices, credit notes, and payment slips to the Finance / Admin teams and monitor various payments, including those from sub-tenants and contractors.
  • Claims & Payments Management : Oversee the timely approval and processing of all claims, invoices, and payments, while also managing specific requests like flight tickets and accommodation for the Regional General Manager.
  • HR & Training Support : Compile and manage training checklists for new staff and coordinate with Area Managers, region trainer and outlets for group trainings.

Requirements

  • Candidate possess at least a Diploma in Business Administration, Retail Management, or related field.
  • 1-2 years of relevant experience in operations, administration or compliance support.
  • Exceptional proficiency in Microsoft Office ( Word, Excel, PowerPoint, and Outlook )
  • Ability to communicate clearly in Bahasa Malaysia, English and work well with others
  • Good organizational, multitasking and time management skills.
  • Flexible and adaptable to changing priorities in a fast-paced environment.
  • Applicants must be willing to work in Auto City-Perai or Bagan Luar-Butterworth
