Job Purpose
To provide administrative and operational support in managing company vehicles, ensuring smooth fleet operations, proper documentation, compliance with regulatory requirements in Malaysia, and timely coordination with drivers and workshops.
Key Responsibilities
- Fleet Administration
- Maintain accurate records of all company vehicles (road tax, insurance, PUSPAKOM, permits, service history).
- Monitor and update fleet databases, logbooks, and tracking systems.
- Assist in renewing permits with JPJ, APAD, and PUSPAKOM.
- Vehicle Maintenance & Compliance
- Coordinate with workshops for vehicle servicing, repairs, and inspections.
- Track scheduled maintenance and ensure timely servicing to minimize downtime.
- Ensure all vehicles comply with Malaysian road safety and regulatory requirements.
- Driver Coordination
- Assist in scheduling drivers for trips and assignments.
- Collect and review driver trip sheets, fuel receipts, and daily reports.
- Support driver welfare by addressing fleet-related issues.
- Operational Support
- Monitor GPS tracking systems and report irregularities (idling, speeding, route deviations).
- Support accident / incident reporting and claims documentation.
- Assist Fleet Manager in analyzing fleet performance and cost control (fuel, maintenance, tolls).
Requirements
Minimum Diploma in Logistics, Transportation, Business Administration or related field.Experience in fleet, transport, or logistics operations preferred.Familiar with JPJ, PUSPAKOM, APAD requirements.Proficient in MS Office (Excel, Word) and fleet management systems (added advantage).Good organizational and communication skills.Able to work independently and in a team.
