Requirements

  • At least 1 years working experience in related field
  • Team player with a mature personality and able to work independently under pressure
  • Customer focus with excellent interpersonal and communication skills and possess the ability to interact with all levels

Responsibilities

  • Pro-active in greeting and welcome guests as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office.
  • Answering phone with well manner, screen and forward incoming phone calls to respective person.
  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures).
  • Provide basic and accurate information in-person and via phone / email.
  • Receive, sort and distribute daily mail / deliveries.
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges).
  • Responsible for procurement and management of office supplies, asset management, office equipment maintenance.
  • Perform daily administrative duties such as making payment of utilities bill, liaise with the management office for any necessary repairs.
  • Responsible for planning & executing company activities such as staff meals, birthday celebrations, annual dinner, festive gathering and etc
  • Responsible for ensuring all registered licenses, bills, and documents are renewed and paid accordingly
  • Arrange travel and accommodations, and prepare vouchers
  • Keep updated records of office expenses and costs
  • Perform other clerical receptionist duties such as filing, photocopying.
  • Manage building cleanliness, landscaping, maintenance & upkeep.
  • Liaise with maintenance team / branches team for whole building’s maintenance and upkeep.
  • Prepare weekly maintenance report for building maintenance.
  • Prepare monthly maintenance cost report including branches
  • Assist in HR / Finance / Sales & Marketing / Operations / Warehouse team in general admin duties as assigned
  • Perform any ad-hoc duties as assigned
