Requirements

Education : Minimum diploma or higher in a related field, or equivalent professional experience.

Language : Proficiency in Mandarin and English (read, write, and speak) is mandatory.

  • Responsibilities

    The Shipping & Export Executive plays a vital role in managing end-to-end export operations — from customer interaction and order processing to shipment coordination and documentation. This position requires strong communication skills, attention to detail, and the ability to coordinate across departments and with international clients. Proficiency in Mandarin and English is essential.

    Key Responsibilities

    A. Customer Management & Activities

  • Communicate directly with international customers via email, phone, or in-person.
  • Host and accompany customer visits at the factory.
  • Conduct and document customer satisfaction surveys.
  • Deliver excellent customer service to build strong relationships.
  • Attend and resolve customer complaints promptly and professionally.
  • Handle customer enquiries and provide timely responses.
  • Follow up on payments in accordance with agreed payment terms.
  • Prepare quotations and Proforma Invoices (PI) based on customer requirements.
  • Handle customer orders and ensure accurate order entry.
  • B. Order Processing & Coordination

  • Distribute approved Proforma Invoices to the production department.
  • Coordinate product / order amendments or changes with internal teams.
  • Conduct feasibility studies on new or modified products.
  • Liaise with production for sample requests and timely preparation.
  • Issue Sales Orders (SO) to the Logistics Department.
  • C. Export Shipping Operations

  • Request and confirm shipping schedules with appointed forwarders.
  • Book shipments and confirm schedules to ensure timely dispatch.
  • Prepare and verify comprehensive loading lists for each shipment.
  • Conduct pre-loading inspections and container loading checklists.
  • Coordinate container haulage with forwarders and issue dispatch instructions to hauliers.
  • Generate and organize export documentation, including :
  • Arrange secure courier delivery of original shipping documents to customers.
  • Submit original export documents to banks as required.
  • Maintain clear and updated records of all shipping activities and documents for traceability and audit.
  • D. Reporting & Analysis

  • Prepare accurate and timely sales and export reports for management review.
  • Assist in evaluating overseas suppliers under supervision.
  • Support internal approval processes related to shipping, purchasing, and customer documents.
