Requirements

Education & Experience :

  • Minimum SPM / STPM / Diploma in Business Administration, Printing Technology, or related field.
  • At least 1 year of experience in administrative or clerical work; experience in the printing industry is an advantage

Technical Skills :

  • Basic knowledge of printing processes (e.g., digital, offset, large format) is an added advantage.
  • Proficient in Microsoft Office (Excel, Word, Outlook).
  • Familiar with job tracking systems or print management software (preferred but not required).
  • Able to handle basic documentation such as job orders, quotations, invoices, and delivery orders.
  • Administrative Skills :

  • Strong organizational and filing skills (digital and hardcopy).
  • Able to coordinate with the production team, sales staff, and suppliers.
  • Ability to manage job timelines, track printing progress, and follow up with clients.
  • Communication & Interpersonal Skills :

  • Good written and verbal communication in English and Bahasa Malaysia (Mandarin is a plus).
  • Professional, courteous, and customer-oriented.
  • Personal Attributes :

  • Detail-oriented and accurate with data entry and documentation.
  • Able to multitask, prioritize work, and meet deadlines.
  • Willing to learn and adapt in a fast-paced print environment.
  • Responsibilities

  • Receive, review, and process customer print orders.
  • Coordinate job details with production team to ensure accuracy and timely delivery.
  • Prepare and maintain documents such as quotations, invoices, delivery orders, and job sheets.
  • Maintain proper filing system for all print jobs, records, and customer communications.
  • Communicate with customers regarding order status, job specifications, and delivery arrangements.
  • Handle general inquiries and provide basic technical support on print products / services.
  • Monitor and update production schedules.
  • Work closely with sales, design, and production teams to ensure smooth workflow.
  • Handle phone calls, emails, and walk-in customers.
  • Perform other ad-hoc administrative tasks as assigned.
