Requirements

  • A high quality standard and professional service is provided to all customers at all times.
  • The assigned site operates profitably any budgeted targets are achieved and maintained.
  • Responsible, supervising, full follow-up performance of side, liaise with other managers to rectify problems arise to head office.
  • To ensure they are developed of all levels of staff on job knowledge.
  • Keep control of company policies and procedures to be implemented at site all the time.
  • Motivates and support division policies to achieve goals and objectives.
  • Keep control of monthly inventory of chemicals, materials and equipment for being no shortage and no excessive.
  • All customers are visited regularly and high satisfaction service provided therefore to ensure cancellation is minimal.
  • All company and department policy are adhered to at all times.
  • The Department operates profitably and all budgeted targets are achieved and maintained.
  • Development of all our staff.

Responsibilities

1. Contract Management

  • Ensuring close communication with site team to overcome any operational challenges inclusive but not limited to daily deployment of workers, tasks scheduling, coordination of works, client management.
  • Prompt respond to clients are MANDATORY. All clients are to be acknowledged of requests / communications within the same day.
  • To carry out audits to ensure quality of cleaning is maintained and improved along with Supervisors and clients.
  • 2. Staff Management

  • Responsible to ensure staff welfare are taken care inclusive but not limited to distribution of cash wages when needed, arrangement of medical check-ups, etc.
  • Serve as a mediator in terms of any challenges faced by workers be IT on salary issues, HR matters, or etc.
  • 3. Control Process

  • To highlight any information received at sites including but not limited to potential revenue, contract renewal, etc.
  • Any decisions required apart from daily cleaning activities is to be referred back to Superiors. No commitment is to be given to external parties (client / vendor) without prior approval.
  • All internal arrangements or communications are to be kept private and confidential, not to be shared with external parties.
  • 4. Reporting

  • To ensure attendance are tabulated accurately into payroll formats. Thorough checking on site / staff information inclusive but not limited to leaves, absenteeism, OTs, off days, etc.
  • Ensuring monthly stock requisition is placed timely without exceeding budget.
  • Prompt submission on all operational documentation in accordance to pre-determined datelines. (E.g. : Hostel, Utilities, Machineries, etc.)
  • To complete site evaluation form endorsed by clients on a monthly basis.
  • Any ad-hoc reporting required by Management.
  • 5. Flexibility

  • To practice flexibility in tasks handling. Management may relocate your position based on your strength to best suit the organization.
  • The Management may also re-assign you to a new line Executive / Manager.
  • A] 5 “S” practice

  • To ensure all work stations of staff under your responsibility conforms to 5 “S” Standard upon adequate training is provided to all.
  • Ensure all files are indexed and filed accordingly for easy retrieval
  • B] Reports

  • To prepare the necessary reports accurately as requested by Management on timely basis and to submit as per set deadline.
  • All reports to be filed appropriately for future references
  • C] Meetings

  • To attend all fixed Department meetings without fail.
  • To present relevant updates on progress of activities under your responsibilities.
  • To ensure relevant report formats are approved by General Manager / HOD / Senior Manager / Manager of Operation Department and the same is completed and presented accordingly during the fixed meetings.
  • D] Handling Queries from Clients / Authorities

  • Visit Clients / Authorities where appropriate to handle and manage issues related to the key responsibilities stated herein
  • The above is not exhaustive and other assignments may be given to you from time to time by the Management.
