We are hiring for a Sales Support Officer to support the assigned sales team and ensure smooth order fulfillment, logistics coordination, and customer communication.
Responsibilities
- Handle customer base on the assigned region and key accounts, including drop shipment and inter-company ordering.
- Review customer orders for item, quantity, and price; liaise with Sales for any discrepancies. If unresolved within the timeframe, refer to superior.
- Follow up to ensure customer payments are received and confirm via email from the accounts department for cash-term deliveries.
- Review inventory and forecast planning for customer order commitment; liaise with customers on stock availability and order fulfilment; reschedule loading based on inventory, planning, and transportation availability.
- Coordinate with relevant departments on trucks or containers for loading; ensure timely order entry and booking confirmations for truck arrangements.
- For container loading, liaise with warehouse and customer on loading schedule and quantities; inform customers of vessel delays and update shipment status via email according to shipping instructions.
- Liaise with customers or sales on RMAs and ensure documentation is aligned; generate RMAs for returns, damages, or shortages as approved by Sales or Management.
- Coordinate with logistics on customer product disputes (GRN or POD) and resolve promptly.
- Liaise with customers and sales to arrange pallets or empty bins for production runs to meet orders on time.
- Enter daily orders into ERP for assigned customers.
- Generate tax invoices when required for shipments.
- Weekly review of customer order fulfilment and update tracking files; report weekly sales volume to Sales team and Management.
- Ensure E-invoicing is updated in the relevant systems (e.g., DC customer systems like B2B) as required.
- Process and archive Customer POs.
- Perform other tasks as requested by the superior from time to time.
Job Requirements
Minimum Diploma in Business Administration or related field.Able to speak English.2 years of relevant work experience is an added value.Fresh graduates or interns who are willing to continue after internship are welcome.Able to use Microsoft Office.Experience using ERP system in the job is preferred.Job Benefits
