Job Summary
The Document Controller plays a vital role in supporting the development, maintenance, and delivery of training for operational documents within the warehouse. This position is primarily responsible for assisting in the drafting of Standard Operating Procedures (SOPs) after the scope and process flow have been defined by Process Owners or Subject Matter Experts (SMEs).
The role also involves conducting training sessions for relevant teams, updating documents based on implementation feedback, and ensuring that the latest versions are well-maintained and easily accessible.
This role does not involve defining or enforcing process changes but focuses on documentation accuracy, consistency, and support for operational excellence.
Key Responsibilities
Master SOP Drafting & Maintenance Support
Assist in drafting clear and structured master SOPs and detailed Work Instructionsbased on finalized scope and approved process flows provided by Process Owners or
SMEs.
Ensure all documentation adheres to internal formatting standards and qualityrequirements.
Update SOPs after the implementation phase, incorporating feedback received fromProcess Owners.
Maintain version control records and change logs for all SOPs.Training Delivery
Prepare and deliver training sessions to relevant warehouse and support teams upon completion of new or revised SOPs.Ensure training content accurately reflects the SOP documents and operational practices.Gather feedback during training sessions to identify potential documentation improvements.Document Management & Control
Manage the master repository of all operational SOPs and related documents in an organized and easily accessible system.Ensure updated versions are promptly circulated to relevant teams.Maintain document control records (such as version tracking) — note : SOPs are updated only when changes are initiated by Process Owners or SME.Archive obsolete versions properly and ensure only current documents are in active use.Post-Implementation Support
Work with Process Owners to gather feedback after SOP implementation.Make necessary amendments to SOPs based on operational feedback without altering the defined process scope.Support continuous improvement efforts through structured document updates.Collaboration and Communication :
Act as the bridge between Process Owners, SMEs, and operational teams for document-related matters.Maintain close collaboration with the Training, Operation Excellence, and Warehouse Operations teams. Promote document awareness and proper usage practices across the warehouse organization.Job Requirements
At least 2–3 years of experience in document control, administrative support, warehouse operations, or a related field.Strong organizational and documentation skills, with a keen eye for detail.Excellent verbal and written communication skills, particularly in SOP drafting and training delivery.Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel); knowledge of document management systems is an advantage.Proficiency in Adobe tools (e.g., Acrobat, PDF editing).Experience in maintaining document accuracy.Good knowledge of Electronic Document Management System (EDMS) software is a plus.Familiarity with warehouse processes and operational workflows is a plus.Ability to manage multiple documentation projects simultaneously and meet deadlines.Strong interpersonal skills to collaborate effectively with cross-functional teams.Ability to work independently in a fast-paced environment with dynamic operational needs.Basic understanding of audit requirements related to document control, version history, and retrieval processes is preferred.
