The Security Operations Clerk is responsible for providing comprehensive administrative and operational support to the security operations team. This includes managing personnel documentation, assisting with scheduling and deployment, handling visa and work permit matters for foreign (Nepa) guards, and coordinating C&U licence applications for bodyguards and armed guards . The role also involves conducting site visits, maintaining compliance records, and ensuring smooth day‑to‑day security operations.
Key Responsibilities :
1. Administrative & Documentation Duties
Manage and maintain up-to-date records for all security personnel, including personal files, licences (C&U), and deployment documentation.
Prepare, update, and file operational reports, rosters, attendance lists, and duty schedules.
Draft letters, memos, and reports for management and relevant authorities.
Maintain accurate tracking of licence expiry dates, renewals, and approval statuses.
2. C&U Licence Management (Armed Guards & Bodyguards)
Prepare and process all documentation for C&U licence applications and renewals for both armed guards and bodyguards .
Liaise directly with PDRM Licensing Division (Bahagian Perlesenan) and other relevant police departments for submission and follow‑up.
Ensure compliance with all regulatory requirements and maintain a proper filing system for C&U records.
Track application progress, follow up on approvals, and update management and clients accordingly.
Assist in compiling supporting documents such as training certificates, medical reports, and employment verification.
Handle visa, work permit, and immigration documentation for Nepalese security personnel.
Coordinate with Immigration Department , KDN , and PDRM for permit renewals and compliance requirements.
Maintain updated records of passports, visa expiry dates, and renewal timelines.
Support logistical arrangements for arrivals, medical check‑ups, renewals, and deployment of Nepalese guards.
4. Operations Support & Scheduling
Assist in preparing and maintaining daily, weekly, and monthly guard duty rosters.
Monitor guard attendance, punctuality, and conduct; escalte issues to the Operations Manager.
Assist in organising training, briefings, and re‑certification sessions for guards.
5. Site Coordination & Visits
Conduct regular visits to client premises and guard posts to ensure operational compliance and guard discipline.
Perform random spot checks and verify that guards are properly uniformed, equipped, and following SOPs.
Support site supervisors in addressing on‑site issues or incidents.
Serve as a key liaison between the operations office, site supervisors, and clients.
Handle routine client correspondence and provide updates on guard deployment and licence status.
Liaise with external authorities, including police and immigration departments, for documentation and compliance matters.
Requirements :
Minimum 2–3 years of experience in a private security company , preferably in an operational or administrative capacity.
Familiar with C&U licence (Armed Guard and Bodyguard) application and renewal procedures .
Proven experience handling foreign worker (Nepa) visa and permit processes .
Strong organisational and administrative skills with excellent attention to detail.
Proficient in Microsoft Office (Word, Excel) and basic reporting tools.
Strong communication skills in English and Bahasa Malaysia (knowledge of Nepali is an advantage).
Able to travel for site visits and work independently with minimal supervision.
