We are seeking an experienced and dynamic HR and Admin Specialist to join our team in Penang Malaysia. The ideal candidate will have a strong background in human resources and administrative functions, with at least 5 years of relevant experience. This role requires a proactive individual who can manage HR daily tasks, supporting hiring process, and handle a variety of administrative duties to ensure the smooth operation of our office. This will be a great role for someone who is looking to advance their career in a fast growing company. Proficiency in both English and Chinese (Mandarin) is essential for effective communication within our diverse team and with external stakeholders.
Responsibilities : Administration
- Greet and assist visitors, clients and employees at front desk, issue and manage employee badges and access cards.
- Work with vendors and Facility team for local office decoration, maintenance and repairs, ensuring the office environment is conducive to productivity and innovation.
- Daily office supplies management, including office supplies procurement, distribution and inventory.
- Assist in booking travel arrangements, including flights, hotels, and transportation for employees. Prepare travel itineraries and ensure smooth travel logistics.
- Provide administrative support to senior management and other departments as needed.
- Handle ad-hoc tasks and projects to support day-to-day business operations.
Human Resources
Perform daily HR tasks, including onboarding, orientation training, attendance management, termination, and other duties as required.Coordinate the recruiting process, including job postings, CV screening, scheduling interviews, conducting reference checks and etc.Work as key point of contact with local universities and organize local recruiting events.Work closely with the business leaders and people team to conduct various engagement activities to ensure employees have a great experience through the employee life cycle from onboarding to termination.Ensure HR policies and procedures are up-to-date and compliant with Malaysian labor laws.Perform any other duties or HR projects assigned by direct supervisor.Qualifications :
Bachelor’s degree in Business Administration, Human Resources or related major.Minimum of 5 years of experience in Admin or HR related roles.Fluency in both English and Chinese is required.High level of professionalism and integrity.Strong organizational and multi-tasking abilities, good communication skills.Good command of Office software.Self-starter, detail-oriented, ability to work independently and as part of a team, and exercise sound judgement.
