We are looking for a detail-oriented Admin Executive / Manager to support our day-to-day office operation. This position will be based in our Singapore office.

Job Responsibilities :

Office Administration

  • Oversee daily office operations including managing phone calls, greeting visitors, handling mail, and maintaining a well-organized workspace.
  • Ensure office equipment and supplies are well-stocked and functioning properly.

Correspondence & Documentation

  • Draft, format, and prepare letters, emails, reports, and official documentation.
  • Organize and maintain company files and records for easy retrieval.
  • Facilities Management & Procurement

  • Coordinate office maintenance, repairs, and service provider appointments.
  • Manage purchasing, inventory tracking, and distribution of office supplies.
  • Budgeting & Expense Tracking

  • Assist in the preparation, tracking, and reporting of administrative budgets.
  • Monitor office-related expenditures and reconcile invoices against purchase orders.
  • Support petty cash management and monthly expense reporting.
  • Finance & Accounts Support

  • Assist with data entry for accounts payable / receivable and financial record-keeping.
  • Coordinate with the finance team for invoice processing, claims, and payment tracking.
  • Help compile documents for audits and financial reporting purposes.
  • General Support

  • Provide administrative and operational support to various departments as needed.
  • Requirements :

  • Singaporean / PR only.
  • Diploma or equivalent qualification.
  • 1-2 years of experience in an administrative role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Excellent written and verbal communication skills.
  • Strong organizational and time management skills in English.
  • Ability to work independently and as part of a team.
  • Meticulous attention to detail and a proactive approach to problem-solving.
  • Fluency in Mandarin will be an added advantage.
  • Working Hour : Monday to Friday 9am – 6pm
