We are looking for a detail-oriented Admin Executive / Manager to support our day-to-day office operation. This position will be based in our Singapore office.
Job Responsibilities :
Office Administration
- Oversee daily office operations including managing phone calls, greeting visitors, handling mail, and maintaining a well-organized workspace.
- Ensure office equipment and supplies are well-stocked and functioning properly.
Correspondence & Documentation
Draft, format, and prepare letters, emails, reports, and official documentation.Organize and maintain company files and records for easy retrieval.Facilities Management & Procurement
Coordinate office maintenance, repairs, and service provider appointments.Manage purchasing, inventory tracking, and distribution of office supplies.Budgeting & Expense Tracking
Assist in the preparation, tracking, and reporting of administrative budgets.Monitor office-related expenditures and reconcile invoices against purchase orders.Support petty cash management and monthly expense reporting.Finance & Accounts Support
Assist with data entry for accounts payable / receivable and financial record-keeping.Coordinate with the finance team for invoice processing, claims, and payment tracking.Help compile documents for audits and financial reporting purposes.General Support
Provide administrative and operational support to various departments as needed.Requirements :
Singaporean / PR only.Diploma or equivalent qualification.1-2 years of experience in an administrative role.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).Excellent written and verbal communication skills.Strong organizational and time management skills in English.Ability to work independently and as part of a team.Meticulous attention to detail and a proactive approach to problem-solving.Fluency in Mandarin will be an added advantage.Working Hour : Monday to Friday 9am – 6pm
