Job Overview
As the Business & Operation Support Admin, you will play a pivotal role in supporting both the Business Development (BD) and Operations teams. You will manage business documentation, coordinate leasing and licensing processes, ensure operational compliance, and provide backend support & coordination for outlet and performance monitoring. This position bridges business expansion and daily operations to ensure seamless execution across all Happy Potato outlets.
Key Responsibilities
1. Franchisee & Business Documentation
- Prepare and organize all franchise-related documents : LOI, Offer Letters, Franchise Agreements, Leasing Offers (LOO, Tenancy Agreements).
- Coordinate document stamping, signing, and filing (both physical & digital).
- Maintain accurate and up-to-date legal and operational records.
2. Leasing & Legal Coordination
Support in reviewing lease terms before legal vetting.Coordinate with legal advisors on franchise, tenancy, and compliance matters.Track tenancy renewals and related deadlines.3. Licensing & Outlet Setup Applications
Apply for required outlet licenses (business, signage, food handling, premise, etc.).Coordinate landlord permits (move-in / out, loading bay access).Arrange outlet essentials (pest control, oil tank permits, delivery channel setup, POS system creation, WhatsApp group setup).Monitor license renewal timelines.4. Operational Reporting & Metrics
Maintain and update Master Outlet List and Business DevelopmentGenerate and track sales reports (daily / weekly / monthly vs forecast).Monitor stock movements, usage variances, and escalate irregularities.Consolidate key performance dashboards for management review.Weekly reporting of leasing progress, outlet developments, and BD conversions.5. Internal Communication & Scheduling
Act as a liaison between HQ and ground teams to ensure smooth communication.Draft and circulate HQ memos, SOP updates, forms, and reminders.Coordinate and schedule meetings (operations, training, cross-department).Track training schedules, attendance, and maintain meeting minutes.Reminder for operation for all operational & marketing execution.6. Customer Service Reporting & Resolution
Consolidate customer feedback from WhatsApp, email, social media, Google Reviews, and outlet reports.Maintain a central log of issues, resolutions, and Google review tracking.Coordinate with Operations and Franchisees for issue resolution.Qualifications & Requirements
Diploma / Degree in Business Administration, Management, or related field.1–3 years of experience in business / operations support, preferably in retail / F&B.Strong organizational, communication, and multitasking skills.Proficient in MS Office, Google Workspace, and POS systems.Detail-oriented with ability to handle legal / operational documentation.Willing to travel occasionally for outlet setup, inspections, and events.Job Types : Full-time, Permanent, Contract, Fresh graduate
