About the Role
You’ll run end-to-end HR operations for the Jerantut base, supporting both HQ and field teams. The role spans payroll, statutory compliance, recruitment & onboarding, HR administration, employee relations , and site support for staff rotating to Mat Daling / Pasir Raja .
What You’ll Be Doing
Payroll (monthly) : Compile & verify timesheets / OT / allowances / claims; process payroll accurately; reconcile variances; issue payslips; coordinate with Finance.
Statutory & compliance : Prepare & submit EPF / SOCSO / EIS / PCB on time; maintain contracts, personal files and HR records; ensure compliance with Malaysian labour law & company policies.
Recruitment (HQ & field) : Draft JDs, post jobs (JobStreet / LinkedIn), screen CVs, schedule interviews, conduct reference / background checks, prepare offers & contracts.
Onboarding & induction : Create onboarding packs; brief new hires on policies, payroll, claims & rotations; set up email / HRIS; coordinate probation goals and check-ins.
Offboarding & exit : Process resignations; calculate last pay / leave encashment; conduct exit interviews; collect assets / access; issue letters (e.g., experience / ROE).
Jerantut & ASARTR field support : Track rotations to Mat Daling / Pasir Raja; prepare rotation memos; coordinate accommodation / meals / travel allowances ; maintain movement logs.
Time & attendance : Maintain rosters, leave calendars and shift / rotation schedules; verify OT approvals & attendance anomalies.
Benefits & claims : Guide staff on medical / insurance / claims; verify documentation; submit to Finance; keep benefit usage records.
Employee relations : Respond to HR queries; assist in grievance handling, disciplinary documentation, counselling notes and follow-ups; promote respectful workplace culture.
Policy admin : Keep HR policies / SOPs updated; circulate memos; file staff acknowledgements; track policy compliance (including safeguarding / OSH).
Performance & probation : Track probation end-dates; remind managers on reviews / confirmations; file appraisal forms and PIPs where needed.
HRIS & data : Maintain HRIS / employee database; ensure data accuracy and PDPA compliance; generate HR reports (headcount, attrition, OT, leave).
Health, Safety & Safeguarding : Support onboarding on OSH & safeguarding; keep incident / first-aid logs from sites; escalate per SOP.
Audits & documentation : Prepare HR documents for audits / donor requirements; maintain trackers for contracts, medical checks and renewals.
Engagement & culture : Assist with HR communications, townhalls, festive events, and welfare initiatives (KL & Jerantut).
Vendors & admin : Liaise with insurance / medical / benefit providers; manage HR stationery / forms; other ad-hoc HR tasks as assigned.
What We’re Looking For (Requirements)
Bachelor’s degree in Human Resources / Business Administration or related field.
1–3 years hands-on experience in payroll and recruitment ; familiarity with payroll software is an advantage.
Solid knowledge of EPF / SOCSO / EIS / PCB , Malaysian labour law, and HR best practices.
Proficient with HRIS / ATS and Microsoft Office (especially Excel).
Strong communication (Bahasa Malaysia & English), interpersonal and stakeholder-management skills.
High attention to detail, integrity, and discretion with confidential data ( PDPA awareness).
Organised, proactive, and able to work independently in a project / field-ops environment.
Based in Jerantut (onsite); own transport and willingness to travel locally for site support.
Preferred (Nice to Have)
Experience supporting remote / rotational workforces or project sites.
Exposure to OSH / safeguarding processes and incident documentation.
Experience with HR reporting for audits / donor projects .
Conversational ability in local / indigenous languages is a plus.
