Management Assistant

Responsibilities

• The Management Assistant will be that of taking care of the administrative duties related to the Site. This person will be responsible for relieving management of administrative and / or clerical responsibilities, arranging appointments. The person will also be responsible for the reception duties include answering and making telephone calls, taking care of the visitors and etc. The person must have excellent keyboard skills and be able to quickly learn and apply PC based software package.
• Job Responsibilities :
• The Management Assistant is responsible for relieving management of administrative and / or clerical responsibilities.
• General office duties :
• Coordinate visitors (those with appointments or without appointments) including arranging to meet company employees, access card, transportation arrangement, accommodation, PPE as and when required.
• Manage renewal of company licensing and membership.
• Update and maintain site organization key contact list.
• Update and maintain site Organizational Chart monthly.
• Manage Site Manager’s calendar and meeting invites (OLT, Department meeting, one-on-one session).
• Take minutes of meeting (MoM) during department meeting.
• Manage quarterly townhall arrangement.
• Schedule plant walkdown and safety topics.
• Manage and update site digital signage.
• Manage stationeries and office supplies for Admin Office.
• Manage related invoices for pest control and hygiene.
• Create PR and raise work order for Admin as and when required.
• Maintain upkeep of office equipment (photocopy machine, printer, etc.) in Admin Office.
• Focal person for courier services arrangement at site.
• Manage vouchers purchase and distributions.
• Arrange travel arrangement for employees including transportation and accommodation.
• Assist HR Department in Long Service Award arrangement for employees.
• Maintain confidential information.
• Comply to relevant quality, environment, health and safety management systems requirement established at site.
• Other
• Serve as site business support team for HSES Department.
