Position Objective :
Responsible to assist the superior to ensure the day-to-day job functions in respect to Policy Servicing is attended to in accordance to policy conditions and prescribed procedures, rules and guidelines with the objective of providing prompt, quality, consistent customer service in the most efficient and cost effective manner.
To adhere to the approved guidelines, Operational manuals and Standard Operating Procedures besides compiling with all statutory and regulatory requirement imposed by BNM and any other related regulatory bodies.
- Ensure compliance with the agreed Policy Servicing Manual, Standard Operating Procedures and Service Level Standards of the department.
- To provide prompt, quality and satisfactory customer service in the most efficient and cost-effective manner to internal and external customers. These include proposer, policyholder, agency personnel, departmental staff, third party service providers and vendor and create a cordial working relationship whilst enhancing the image and branding of the company.
- Request and update latest information pertaining to a policy or the policy owner’s personal details whenever contact is made with a customer e.g. change of address, telephone number, e-mail address.
- Performs User Acceptance Test (UAT) for system defect, new product launch & process outsource to vendor within the timeline and deliver as per promised.
- Take the responsibility and accountability for all changes to Policy Servicing modules of systems, ensuring complete, timeous and accurate maintenance of systems though RFA and CR’s. This includes ensure provide or sign off on business requirements, test scripts and test results.
- Document, maintain and adhere to all approved Manual, all statutory and regulatory requirement imposed by BNM and any other related regulatory and produce the same for inspection and audit purpose on request basis.
- Provide training to internal & external user, including Branch staffs and agency related to the Policy Servicing module.
- Collaborates with team members and other related department staff to ensure consistency in service delivery andsolve the business problems.
- To ensure that all reports, submission, and requirements are correctly and timely made to BNM, LIAM or any other related body whatever it is on a routine or ad-hoc basis.
- To maintain accurate customer records on database for policy details, premium and loan payments, and provide correct information to the policyholder and agent.
- To promptly attend to customer complaint and dissatisfaction with a view to resolve issues and disputes amicably without compromising company financial position, procedures and practices in a professional and effective manner whilst upholding the organization image, reputation and integrity at all times.
- To approve payment vouchers, transactions and other documents as authorized by the Company according to the Authority Manual upon verifying the authenticity of the document and / or payment with due diligence.
- Ensure proper tracking and monitoring system is in place in the business processes to detect exceptions and irregularities and maintain such reports for internal and external reviews.
- Process Surrender, Full Withdrawal, Partial Withdrawal, Fund Switching, Top-Up & Policy Loan according to approved guidelines, business rules, and manuals. Seek advice from the Actuary and Pricing team when necessary and ensure compliance with documentation related to policy benefit payouts.
- Ensure incidences received through the workflow is processed and completed within the time frame allotted.
- Ensure documentation received and processed is sent for scanning and storage.
- Ensure the e-mails enquiries or application submission related to Surrender Team received from Customer Service e-mail and Agency e-mail is tracked and revert within the stipulated timeline.
- Attend internal and external trainings organized by the Division or Company to equip oneself with the required skill sets for providing professional service, advice and counseling inclusive of product knowledge so as to be versatile to give the right advice and service.
- Support and involve in any other duties that may be assigned by the Manager from time to time.
Job Requirement :
