aiMai.ai Inc. is seeking a highly organized and proactive Executive Assistant cum HR Executive to provide high-level administrative support to senior management while handling key HR functions.
This dual-role position requires exceptional multitasking skills, discretion, and a strong understanding of both executive support and HR operations in the Malaysian context.
Key Responsibilities :
- Manage executives’ calendars, schedules, and travel arrangements (local & international).
- Prepare reports, presentations, and correspondence for senior management.
- Act as the primary point of contact between executives and internal / external stakeholders.
- Handle confidential documents and sensitive information with discretion.
- Assist in end-to-end recruitment (job postings, screening, interviews, onboarding).
- Maintain employee records and ensure compliance with Malaysian labor laws (Employment Act, EPF, SOCSO, EIS).
- Coordinate performance appraisal processes and training programs.
- Administer payroll, leave records, and benefits (medical, insurance).
- Handle employee relations matters and workplace policy implementation.
Requirements :
Mandarin is Mandatory.Proven experience as a HR Executive or in a similar administrative role.Familiarity with Malaysian employment regulations and HR practices.Proficient in MS Office (Excel, PowerPoint) and HR software (BrioHR)Strong organizational and problem-solving abilities.High integrity and ability to handle confidential mattersProactive, adaptable, and detail-orientedDiploma or Degree in Human Resources, Business Administration, Secretarial, or a related field is preferred.Seniority level
