Ensure all arrangements and appointments are managed accordingly and in a timely manner. Remind and seek advice of any change of such appointments and arrangements.
Responsible for all local and abroad travel arrangements i.e., travel documents, flights, ground transport, hotels.
Responsible for the administration of the filing and documentation.
Responsible for all incoming and outgoing correspondence and communications i.e., memos, letters, emails. To draft and prepare correspondence.
Ensure all guests and visitors are managed courteously and appropriately to reflect the Company's image.
Organize internal events and meetings as and when required.
Plan and prepare materials for scheduled meetings, conferences and conference telephone calls. Conduct background research for presenting information and findings (e.g., using internet, publications, reports, etc.)
Responsible for taking minutes of meetings, distribution of agenda, coordination and compilation of management and monthly reports when required.
To assist in the preparation of reports.
To assist in the arrangement of Company's events.
Maintain an adequate inventory of office supplies (e.g., stationery, documents, business cards, etc.) for departmental usage.
Draft and circulate approved memos / minutes.
Follow-up on action plans required by internal / external stakeholders within agreed timeline.
Responsible for checking and verifying all documents, claims, invoices, delivery notes and payments are duly completed prior to the approval.
Any other duties assigned by your immediate Superior from time to time.
Requirements :
Diploma, Advanced / Higher / Graduate Diploma, Bachelor's Degree, Post Graduate Diploma, Professional Degree in Secretary / Corporate Communication / Business Studies / Administration / Management, or equivalent.
Candidate with extensive working experience Secretary.
At least 5 years of working experience in the related field is required for this position.
Computer Literate and excellent administrative.
Strong Microsoft Office Skill.
Good Command in English & BM, both written and oral.
Ability to quickly build good working relationships at all levels and collaborate effectively with arrange of internal / external contact.
Displays tact and diplomacy, dealing discreetly with confidential information.
A team player and capable of working independently.
Outgoing personality, proactive, innovative, highly motivated with excellent interpersonal skill, hardworking and able to work under pressure.
