Responsibilities
- Acknowledge receipt of tender / bid / enquiry documents.
- Ensure all required information is available prior to commencement of the tender process.
- Distribute tender / bid / enquiry documents to others involved in preparation.
- Initiate the Project Execution Plan (PEP) request from PMT and ensure completeness of PEP before submission of proposal.
- Prepare bid sheet costing and acquire the necessary approval as per Tender and Contract Review procedure.
- Prepare and produce tender and full proposal documentation on qualified bids ensuring bid compliance.
- Presents and explains contract / tender conditions and details to relevant involved internal departments, external stakeholders and assists the sales and marketing team / senior management with contract recommendations for approval.
- Ensure proposal is submitted in timely manner and in compliance with the Tender and Contract Review procedure.
- Responsible for maintenance of policies, procedures and workflows used to facilitate the contract / tender administration process.
- Collaborate with projects and operations teams to ensure that project runs in-line with terms stipulated in contract.
- Works with Legal, Procurement, Finance and all relevant involved teams to ensure contracts are following internal and external policies and procedures.
- Monitors all contract deadline and conditions and collections during project execution.
- Oversee record keeping for all contract-related correspondence and documentation during bid stage.
- Maintain register / file for all Purchase Orders / contracts.
- Support / maintain sales functions in SAP.
- Liaise with relevant departments for WASCO’s registration as an approved vendor.
- Oversee the renewal application of PETRONAS license for Wasco Coatings Malaysia Sdn Bhd and Wasco Lindung Sdn Bhd.
Job Requirements
Degree in Engineering, Business or equivalent.Minimum 3-4 years technical sales and / or commercial experience. Possess strong technical background.Experience in Oil & Gas and / or pipe coating sector is preferred.Experience in bid proposal preparation, review and negotiations.Ability to independently assess potential impact and consequences of negotiated agreements and act accordingly.Ability to prioritize, plan, and execute multiple complicated tasks in a timely manner.Ability to effectively implement high-level analytical and organizational skills in order to interpret facts and figures and make sound judgments.Proficient in MS Office, Excel, Project Schedules.Job function
