Job Brief
We are seeking a detail-oriented and proactive Associate, Talent Acquisition Operations to join our team. In this role, you will provide essential administrative and coordination support across the recruitment and onboarding lifecycle, helping to ensure a seamless and positive experience for new hires.
Job Responsibilities
Talent Acquisition & Onboarding Operations
- Manage and maintain Personnel Files (P-Files) for all new hires
- Update and track new hires logistics to ensure accuracy and timeliness
- Initiate and follow up on new hires’ pre-employment screening and medical screening
- Submit request for new hires account creation and door access through internal systems
- Perform new hires document stamping and upload into SharePoint
- Welcome and escort new hires to onboarding hall, ensuring a positive first-days experience
- Distribute access cards and onboarding kits to new hires
- Provide support for new hires’ laptop setup, including arrangements for off-cycle new hires
- Support talents screening activities
- Liaise with new vendors to complete onboarding documentations and coordinate smooth vendor onboarding
- Process vendor payment requisitions and ensure timely payments
Special Project & Reporting
Support Talent Acquisition initiatives such as career fairs, campus hiring, and engagement eventsMaintain and update the seating / headcount allocation filePrepare and submit medical redemption reportsManage onboarding kit inventory to ensure sufficient stock for upcoming new hiresJob Requirements
1-2 years experience in HR administrative role, ideally within Talent AcquisitionHighly organized with strong attention to detailProficient in Microsoft Office and SharePointAbility to manage multiple tasks efficiently and follow up with a sense of urgencyGood communication skills and team-oriented approachOur Perks & Benefits
