Job Responsibilities

  • Supervise day-to-day administration operations of the company;
  • Review and improve administrative procedures & processes;
  • To maintain cleanliness & tidiness of the office building & facilities;
  • Ensuring office is stocked with necessary supplies and all equipment is working and properly maintained;
  • Arrange, Purchase, and Control inventory for stationaries, pantry items, name card, PPE, first aid items etc;
  • Get quotation for comparison purpose for new and / or existing suppliers when needed;
  • Prepare necessary supplies for new join employees – workstation cleanliness, phone extension, corporate shirt, and any other items needed;
  • Maintain and update group employee contact listing;
  • Maintain a record and compilation of corporate line with local telco on contract expiry and renewal;
  • Maintain a record of upkeep of fire extinguishers, alarm system, pest control, lift, office machines such as water dispenser etc;
  • Manage and monitor outsourced security & cleaners - attendance & performance;
  • Back-up receptionist during on-leave and lunch break by duty rooster (rotation) including handling incoming calls, walk-in guests and receiving couriers;
  • Monitor expiry and renewal of business license / tenancy agreement;
  • Flight / accommodation booking for staffs when needed;
  • Responsible for parking management;
  • Record and control all keys to door / furniture within the building;
  • Involve in Covid-19 prevention measures;
  • Assist to welcome & to do simple food serving for VIP / VVIP guests

Requirement

  • Degree / Diploma in any fields.
  • Proven experience in administrative management and facility management.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Ability to supervise and manage a team effectively.
  • Knowledge of health and safety regulations.
  • Proficiency in inventory management and budget control.
  • Familiarity with record-keeping and data management practices.
  • Able to work long hour , weekend & Public Holiday when required.
