Accounts & Finance :

  • Perform full-set bookkeeping duties for both Malaysia and Singapore entities, including preparing and maintaining general ledgers, accounts payable, and accounts receivable.
  • File GST returns and manage all aspects of Goods and Services Tax for the Singapore entity.
  • Manage monthly payroll for employees in both Malaysia and Singapore, ensuring accuracy and timely processing.
  • Prepare and submit all statutory contributions and tax filings for both countries (e.g., EPF, SOCSO, EIS in Malaysia; CPF in Singapore).
  • Provide timely reports to outsourced accounting firms to facilitate the preparation of financial statements.
  • Process expense claims and manage petty cash.
  • Liaise with external auditors and tax agents.

Human Resources :

  • Manage the full employee lifecycle, from recruitment and onboarding to offboarding and exit procedures.
  • Prepare and issue employment contracts for new hires in line with local labor laws and company policies for both Malaysia and Singapore.
  • Maintain accurate and confidential employee records and personnel files.
  • Administer employee benefits and leave management systems.
  • Assist in the development and implementation of HR policies and procedures.
  • Handle employee inquiries and provide support on HR-related matters.
  • Administrative & Personal Assistant (PA) Duties :

  • Reconcile daily sales and transactions.
  • Take minutes of the meeting.
  • Manage and maintain office supplies and equipment.
  • Handle filing and other general administrative duties and ad-hoc tasks as assigned by management.
  • Assist the founder with minor PA duties, including but not limited to making travel arrangements, scheduling, and coordinating meetings.
  • Requirements

  • A Diploma or Degree in Accounting, Human Resources, or a related field.
  • Proven work experience in a similar accounts, HR, and / or administrative role.
  • A strong understanding of XERO accounting software is beneficial.
  • Knowledge of Malaysia and Singapore's labor laws and statutory requirements (EPF, SOCSO, EIS, CPF, GST).
  • Excellent communication and interpersonal skills.
  • Highly organized with strong attention to detail.
  • Ability to work independently and manage multiple tasks in a fast-paced environment.
