This position requires handling communications with customers (external) and stakeholders (internal), addressing services-related requests and supporting service escalations. The main tasks include review of service requests, delivering resolutions, and ensuring timely billing. The role supports the Service Delivery Manager (SDM) to ensure desired customer satisfaction and service KPIs are fulfilled.

Key Responsibilities

  • Serves as primary point of contact (besides SDM) for customer inquiries and orders, ensuring issues are resolved in a timely and satisfactory manner.
  • Update the product catalogue, onboard customers into SNOW, and collaborate with the transition team to understand established process mapping.
  • Execute and coordinate the order management process from forecasting to invoicing.
  • Manage deployment of Lenovo devices (desktop, laptop, tablet) and third-party products between partner and customer.
  • Coordinate collection of unused machines from customer premises back to storage location or funder.
  • Monitor and manage inventory levels.
  • Perform device and accessory asset management.
  • Set up tracking for SLA monitoring and other necessary metrics.
  • Prepare monthly billing files for invoicing and ensure timely invoicing as per contract.
  • Maintain and provide data for internal and external reports (e.g., MBR, QBR).
  • Build solid working relationships with partners to ensure smooth deployments and excellent order management.
  • Actively participate in UAT enhancement testing and provide recommendations to improve service delivery.
  • Develop and maintain a thorough understanding of the organization's products and services to provide accurate information to customers.
  • Coordinate with vendors or other departments to resolve customer incidents, ensuring high-quality service delivery.

Position Requirements

  • Bachelor’s degree in any discipline.
  • Minimum 3 years of service coordination experience, ideally in an IT services environment.
  • Fluency in both written and spoken Japanese and English.
  • Proven customer service experience with a customer-oriented approach.
  • Strong communication and active listening skills; ability to interact with clients as needed.
  • Organized and analytical; provides accurate, valid, and complete information using appropriate methods / tools.
  • Prior project management experience is a plus.
  • Ability to work under minimal supervision and as a team player with good cross-team communication.
  • Experience with account operations (PR / PO / Invoice / Payment clearance).
  • Familiar with CRM systems and ticketing tools (preferably JIRA, ServiceNow).
  • Ability to multi-task, prioritize, and manage time to meet deadlines.
  • Mixed services-to-technical focus (80 : 20).
  • Willingness to learn and implement new things regularly.
  • ITIL certification and PRINCE2 / PMP preferred.
