  • Sales Administrator based in Kuala Lumpur

  • At Smith+Nephew, we craft and manufacture technology that takes the limits off living.Responsible for managing and collecting purchase orders from hospitals as well as remove any roadblock to ensuring PO is timely processing and release. Support the overall governance mechanism as required and other suitable commercial admin matters as appropriate.
  • Preparing related supporting document for PO processing as per hospital’s requirements i.e. invoices, quotation, UID, OR usage form
  • Ensure document submission within the stipulated timeline of 3 days for Private and 7 days for Public or at hospital’s specific timeline to hospital for PO processing.
  • Collecting and verifying purchase orders from hospitals
  • Ensuring PO details (pricing, quantities, terms) match the corresponding UID, invoices and contracts and other related documents
  • Exception Approval process – If PO is delayed beyond 60 days for Private and 120 days for Pubic, including tender, PO issuance timeline etc.
  • Escalate for Raising PO pending’s with a particular hospital / account manager.
  • Support the overall governance mechanism as required and other suitable commercial admin matters as appropriate.
  • Working closely with distribution partner, sales teams, hospital supply / procurement and any related parties and provide necessary support to ensure smooth and timely PO processing
  • Monitoring and following up on pending or missing POs with relevant stakeholders
  • Resolving discrepancies, mismatches and disputes related to PO -
  • Updating and maintaining accurate records of POs in the system. -
  • Generating and publishing reports, dashboard on PO collections and outstanding and timeline to resolve
  • Ensuring compliance with company policies and regulations
  • To always act in a responsible manner to avoid risk to self or to the company and comply
  • with the workplace safety and health and security policy.
  • Any other duties involved within the role and / or the tasks as assigned from time to time.Success in the role will requires a combination of technical knowledge, soft skills, and a deep understanding of both the business and service-providing sides of an organization.Successful candidates would need the following :
  • 3 - 5 years of sales and marketing coordination experience is a must
  • Proven experience and a successful track record in a sales or marketing administrator role
